Additional Requirements:

∎ At least 5 years working experience in development field, preference will be given who have at least 2 years managerial position in administration in any I/NGO.
∎ English and Bangla report writing.
∎ Excellent computer skills.
∎ Strong interpersonal skills.

Responsibilities & Context:
∎ To provide & coordinate effective and efficient administrative support to Friendship, as per Organizational Policies and procedures.
∎ Administration
∎ Coordination with local GoB and other stakeholders
∎ Security Assessment
∎ Crisis Managementp
∎ Emergency Supportp
∎ Coordination between project and project offices
∎ Responsibility of management and efficient utilization of Friendship Assets and properties (Movement/Update) as per policy guidelines.
∎ Coordinate and assist to prepare Contract, Lease Agreement, TOR, Order memo etc.
∎ Maintain database for hospital/clinic license papers and support HO Admin in renewal process.
∎ Arrange meetings, visits and events as per the required schedule. Ensure all arrangements are made for conferences, workshops, meetings and visits etc.
∎ Provide all necessary Office Admin, circular and logistic support (including travel and accommodation arrangement) as per instruction of HO Admin.
∎ Organize and conduct internal and external co-ordination and communication between Head office, projects and other related agencies.
∎ Provide admin support and monitor transport management, i.e. Motor cycle usage, office vehicle including hired vehicle.
∎ Ensure all Vehicles are maintained as per Friendship M.V. Policy. Report to Head Office on monthly basisi.
∎ Coordinate and work closely with local finance, HR and Procurement staffj.
∎ Coordinate and arrange visit of HO staff at field including accommodation, food and transportation (once ask for)
∎ Manage the attendance at office
∎ Inform HR related matter to reporting line (or act on his instructions)
∎ Maintain good coordination with the GoB officials, local govt and public representative.
∎ Attend GoB meeting where and when appropriate.d.
∎ Jointly with project manager organize field visit of GoB Counterparts and report to immediate supervisor.
∎ Conduct assessments of security needs of offices including natural threats, staff safety, local law and order.
∎ Ensure safety and security of organization asset and staffc.
∎ Share findings with Project staff and reporting manager.
∎ Maintain a good professional relationship with law enforcement agencies.
∎ Investigate issues by visiting or in coordination with project or as advised.
∎ Receive notification of natural and manmade disasters (including fires) in Friendship working areas. Inform supervisor and or senior management of immediate action plan and assemble emergency team
∎ Support in emergency evacuation or MedEvac procedure.
∎ Prepare narrative and expense report on emergency support provided and submit to immediate supervisor.
