Responsibilities & Context: Walton Digi-Tech Industries Limited requires a dynamic, honest and efficient “Sr. Executive / Assistant Manager”. The incumbent will oversee the day to day administrative operation of our company , ensuring efficiency, productivity and compliance with policies and procedures and effectivity managing resource. Candidates with experience in a mobile industry will be given priority.
Job Responsibilities and Duties:
Office Management :
- Oversee and manage day-to-day operations of the office environment to ensure efficiency and productivity.
- Manage office supplies and inventory, ordering necessary materials and ensuring the availability of key resources.
- Coordinate with vendors and service providers for office equipment, maintenance and supplies.
- Ensure office cleanliness, safety standards and proper functioning of office facilities.
Staff Supervision and Coordination :
- Supervise and support the administrative staff (Security, Cleaner, Liftman, Fireman, Office assistants, etc.).
- Develop and implement office policies and procedures for efficiency.
- Organize work schedules, delegate tasks and monitor the performance of administrative staff.
- Provide training and support to new staff members in administrative functions.
Documentation and Record Keeping :
- Maintain and organize important company records, such as contracts, legal documents, and internal reports.
- Implement filing and archiving systems for easy access to critical information.
- Ensure compliance with legal and regulatory requirements for document retention.
Liaison and Communication :
- Act as the main point of contact for internal communication between departments (production, QC, SCM, Maintenance, HR, finance, etc.).
- Communicate and coordinate with external stakeholders, including vendors, contractors, government agencies, and customers.
- Prepare and distribute internal communications such as memos, announcements, and policy updates.
Budget and Financial Management :
- Assist with the preparation and management of the administrative department’s budget.
- Monitor and control administrative expenses, ensuring cost-effective practices.
- Assist in processing invoices and payments related to administrative functions.
Human Resources Support and Transport Management :
- Coordinate recruitment activities for administrative positions.
- Ensure compliance with labor laws and company policies regarding employees.
- Ensure admin support related to transport
Facility and Equipment Management :
- Oversee the maintenance and upkeep of office facilities and manufacturing areas.
- Ensure the timely repair and servicing of office equipment (e.g., computers, printers, chairs, work stations).
- Coordinate logistics for any office or facility relocations or renovations.
Event and Travel Coordination :
- Organize internal events such as team-building activities, training sessions, or company meetings.
- Plan and coordinate employee travel arrangements, including accommodations and transport.
- Arrange for meetings and conferences, both internal and with clients or suppliers.
Health, Safety, and Compliance :
- Ensure adherence to health and safety regulations within the office and manufacturing spaces.
- Ensure that the company complies with industry standards and regulations related to mobile manufacturing.
- Coordinate safety training programs for staff members.
Project and Process Improvement :
- Assist in the implementation of process improvements for administrative functions.
- Collaborate with the senior management team on special projects, reporting progress and managing timelines.
- Provide suggestions for improving administrative processes, efficiency, and automation.
Support to Senior Management :
- Assist senior management with administrative tasks, such as scheduling meetings, preparing reports, and drafting correspondence.
- Prepare presentations, reports, and documents for senior management or client meetings.
- Perform any other task assigned by management.
