The Sr. Executive/Assistant Manager – Admin will support and coordinate all administrative operations of Saic Group across its institutions located in various districts. The role ensures smooth facility management, administrative compliance, and effective communication between the Head Office and institute heads. The position also provides direct administrative support to the Managing Director and Chairman, including schedule management, documentation, travel arrangements, and liaison with internal and external stakeholders. This role requires a proactive individual capable of managing multi-location administrative tasks and maintaining confidentiality while supporting top management.
Oversee all administrative activities of Saic Group and all its sister concerns, ensuring full compliance with organizational standards.
Handle official correspondence, drafting letters, memos, notices, and administrative instructions as required.
Maintain and oversee all legal documents including several licenses, agreements, certifications, institutional approvals, and renewal records.
Liaise with government offices, regulatory bodies, and relevant stakeholders to ensure compliance and timely submission of required documents.
Supervise facility management including office maintenance, utility management, safety, store management, and housekeeping operations.
Monitor transport operations, vehicle maintenance, logbook management, and driver coordination.
Coordinate repair and maintenance work for office equipment, furniture, and infrastructure in collaboration with the responsible team.
Follow up on management decisions, meeting resolutions, and action items with institute heads to ensure timely implementation.
Act as a Personal Secretary to the Managing Director when required, including appointment scheduling, meeting arrangements, and follow-up tasks.
Provide administrative support on passport renewal, visa processing, air ticket booking, and travel logistics for top management.
Organize and conduct monthly Saic Group administrative meetings, including agenda preparation, communication with participants, and documentation of minutes.
Arrange official meetings, conferences, and institutional visits for the Chairman and Managing Director.
Coordinate hospitality, entertainment, and protocol arrangements for visitors, delegates, and special guests.
Prepare and provide periodic reports to the Chairman, Managing Director, and other relevant departments.
Oversee attendance monitoring, leave records, and discipline-related matters of admin and support staff in coordination with HR.
Manage courier, mail, and document dispatch systems between Head Office and institutes, ensuring timely delivery.
Monitor cleanliness, hygiene, and workplace environment standards at Head Office and provide guidelines to institutes.
Monitor and manage fixed assets, including tagging, inventory records, and periodic verification.
Maintain and update a centralized database of all institute admin focal persons, contact lists, and communication channels.
Ensure timely submission of monthly admin reports from all institutes and verify accuracy before placing them to management.
Oversee canteen, office support staff, and housekeeping operations to maintain smooth daily functioning.
Support management in organizing events, workshops, training sessions, and institutional programs.
Provide guidance, administrative support, and instructions to institute administrators to ensure smooth operation.
Support recruitment and onboarding of admin staff by coordinating with the HR department when required.
Assist in preparing administrative budgets, cost-control measures, and expense tracking for Head Office and institutes.
