Job Context:
∎ The Operations Officer is responsible for the operational needs for the Dhaka Office under the direct supervision of the CD. He/She will be charged with all travel and accommodation booking for IRC staff both national and international. He/She will work closely with the Senior Supply Chain Coordinator and the Cox`s Bazar supply chain team.
∎ Department: Operations
∎ Work Location: IRC-Bangladesh, Dhaka Office with visits to field offices as required
∎ Reporting to:Deputy Director of Operations
∎ Contract Length: One Year (with high possibility of extension subject to availability of funding, program needs and performance of the incumbent)
Job Responsibilities:
∎ Operations: (70%)
∎ Maintain day to day administrative & Operational activities IRC Bangladesh Country Office and Coordination office
∎ Act as focal points for visitors, including high level representative. external agencies & organizations. Provide protocol to all IRC HQ visitor to Bangladesh
∎ Look after IRC Bangladesh operational all kinds of Hotel Accommodation & Travel issues (Domestic & Int'l air ticketing) for Foreign expat, visitor, HQ Staff & Local staff
∎ Prepare "welcome package" for each arriving person including information about the Bangladesh operations as well as general information on Bangladesh
∎ For new expat & HQ visitor by drawing up briefing programs with various units with in the office
∎ Act as a Security focal person of IRC Bangladesh Country office. Make sure Safety & Security of Dhaka Office premises & employee
∎ Support to coordinate meeting, training, conference and workshop
∎ Actively involved with Dhaka based all recruitment process for IRC
∎ Carrying out procurement for IRC BD program in consultation with the Sr. Supply chain Coordinator. Closely work with procurement team for bid analysis, contact with supplier, supplier visit, prepare visit report for finalize the selection process of supplier enlistment
∎ Prepare all kind of Contract & Lease Agreement for office
∎ Manage office support staffs, driver and outsource service providers (cleaners, security guards etc.) Make sure Dhaka office premises and all equipment are accurately maintained and everything are working properly
∎ Prepare monthly Utilities, office and expat house rent
∎ Any other tasks as assigned by the Country Director and Deputy Director Operations.
∎ IT: (30%)
∎ Work in collaboration with the Country IT Lead and the DDO to manage information technology and computers systems in Dhaka office
∎ Work with other field office IT staff members to ensure timely delivery of IT project activities and resolution of IT issues
∎ Manage installation, configuration, maintenance, repair, security and IT documentation of local area networks, servers, desktop/laptop computers, communication resources and other office equipment following IT standards and procedures
∎ Work with the Country IT Lead and Internet Service provider to ensure that Dhaka office is connected to Internet at all times and that all users are connected to the LAN and have access to Internet
∎ Work with the Country IT Lead to deploy and maintain Servers and Active Directory and domain services at the Dhaka office
