Job Context:
∎ JOB PURPOSE: The Manager, Grant Management will assist to Senior Manager for support the Pooled Fund in strategic and operational stewardship over donor resources by applying relevant systems, policies, procedures, and tools to ensure that grants and contracts are donor compliant and best serve the organisational mission.
∎ The position will report to the Senior Manager, Grant Management. The Manager, Sub Grants will be responsible for assisting that the pooled fund adheres to all its grant management obligations internally within Pooled Fund and externally with donor/s. The position will work closely with the Head of Pooled Fund.
∎ SAFEGUARDING RESPONSIBILITIES
∎ - Ensure the safety of team members from any harm, abuse, neglect, harassment and exploitation to achieve the programme`s goals on safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.
∎ - Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.
∎ - Follow the safeguarding reporting procedure in case any reportable incident takes place, encourage others to do so.

Job Responsibilities:
∎ Strategy:
∎ Assist Senior Manager, Grant Management in ensuring internal or external grant management audit findings are correctly actioned.
∎ Work with the Senior Manager, Grant Management and Head of Pooled Fund and affiliates to diagnose capacity-building needs for the PFL in grant management and implement action plans to address them.
∎ Prepare all materials and documents as per need base in managing the grants.
∎ Coordination:
∎ Serve as a bridge between the Cox's Bazar field office and the grant unit of Pooled Fund of head office to ensure a smooth exchange of information.
∎ Assist in evaluating research and monitoring results in coordination with managers and managing all communication with researchers and accounting departments.
∎ Assist in collaborating with staff and other stakeholders; draft internal reports for same and submitted status reports to seniors as required.
∎ Assist in facilitating Kick-Off meeting/s with the donor.
∎ Assist in facilitating monthly/quarterly 'Grant Review Meeting/s' with diverse stakeholders, taking notes, and following up to ensure completion.
∎ Assist in facilitating close-out meeting/s and actions.
∎ Compliance:
∎ Proactively support the identification of compliance risks, advises on the necessary measures, and thus supports the risk management.
∎ Support team members of the pooled fund to ensure all opportunities, proposals, contracts, and amendments follow BRAC processes.
∎ Draft sub-grant agreements (If any) using endorsed template packages and ensuring that all donor compliance requirements are passed down.
∎ Analysis:
∎ Understand and have familiarity with the pooled fund budgeting process and cycle.
∎ Maintain portfolio, pipeline and reporting tracker for the pooled fund.
∎ Portfolio Management:
∎ Assist in monitoring the pooled fund portfolio.
∎ Provide regular management information to the Senior Manager-Grant Management and Head of Pooled Fund on the performance of the active portfolio (Key Performance Indicators).
∎ Identify issues in the active grant portfolio and apply problem-solving skills to resolve these.
∎ Support the Senior Manager-Grant Management to develop action plans to address issues highlighted by grant metrics and indicators and implement those actions.
∎ Systems:
∎ Maintain records of all payments manage all change requests and perform research on all grant issues and prepare monthly records for all grant related activities.
∎ Support the Senior Manager- Grant Management to administer grant records and evaluate financial reports to analyze all annual progress and perform a review on grant expenditure.
∎ Maintain and document spreadsheets for all billings and draft reports for cost allocation.
∎ Support the Senior Manager-Grant Management to, ensure adherence to system guidelines to promote data quality.
∎ Assist in developing expert knowledge of grant management system & dashboard functionality, maintaining up-to-date data and use those data for decision making.
∎ Safe Guarding Responsibilities:
∎ Ensure the safety of team members from any harm, abuse, neglect, harassment and exploitation to achieve the programme's goals on safeguarding implementation.
∎ Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.

Additional Requirements:
∎ Minimum 3 years experience working in Grants in an NGO is required.
∎ Possess an understanding of the entire grant cycle, including the proposal development phase.
∎ Understanding of the financial aspects of grant management, ability to work with the Finance.
∎ Department on grant management issues.
∎ Strong attention to detail, problem-solving skills, and ability to analyse trends.
∎ High proficiency with computers, particularly Google Suite, MS Office, net browsing, financial systems, and Cloud Computing (Google Drive / Dropbox).
∎ Patient, adaptable, innovative, able to improvise, and has the competency to communicate clearly and effectively under pressure.
∎ High organisational skills and ability to work in a global environment.
