Responsibilities & Context:
HR Operations & Factory HR Management
Manage day-to-day HR operations of the factory, including attendance, leave, overtime, payroll support, employee records, and personnel files.
Ensure proper manpower planning, recruitment, joining formalities, onboarding, orientation, and induction for workers, staff, and management employees.
Monitor employee discipline, grievance handling, counseling, disciplinary actions, separation, and exit formalities in compliance with company policy and Bangladesh Labour Law.
Ensure proper maintenance of HR documents including appointment letters, service books, ID cards, nominee forms, leave records, increment records, and employee database.
Coordinate with production, administration, security, and management teams to ensure smooth factory HR operations.
Compliance Management
Ensure compliance with Bangladesh Labour Law, Amfori BSCI requirements, ISO 9001:2015, ISO 14001:2015, ISO 45001:2018, Oeko-Tex, FSC, buyer Code of Conduct, and internal compliance policies.
Maintain compliance standards related to working hours, wages, overtime, leave, benefits, occupational health and safety, employee welfare, and workplace environment.
Ensure factory compliance requirements are properly implemented for apparel trims, packaging, and export-oriented manufacturing operations.
Monitor legal and statutory compliance including factory licenses, fire licenses, environmental compliance, safety records, training records, and other required documents.
Support management in maintaining a compliant, ethical, safe, and worker-friendly workplace environment.
Audit Preparation & CAPA Follow-up
Prepare the factory for BSCI audits, buyer audits, social compliance audits, ISO audits, third-party audits, and internal audits.
Conduct monthly internal compliance audits and prepare audit reports with findings, risk areas, and improvement plans.
Prepare, implement, and follow up Corrective Action Plans / Corrective and Preventive Actions for audit findings.
Maintain all audit-related documents, evidence files, training records, policy documents, committee records, and compliance reports.
Coordinate with concerned departments to ensure audit readiness and timely closure of non-compliance issues.
Employee Welfare & Workplace Environment
Implement employee welfare activities, worker engagement programs, awareness sessions, and communication initiatives.
Ensure proper functioning of welfare, safety, anti-harassment, grievance, participation, and health-related committees as per compliance requirements.
Monitor workplace safety, hygiene, canteen, drinking water, sanitation, first aid, childcare, emergency exits, fire safety, and general working conditions.
Promote positive employee relations, ethical workplace culture, and effective communication between workers and management.
Support initiatives related to environmental responsibility, including ETP, waste management, energy saving, and workplace sustainability practices.
Reporting & Documentation
Prepare HR, compliance, audit, welfare, training, and management reports on a regular basis.
Maintain accurate and updated records of compliance activities, audit outcomes, CAPA status, employee welfare activities, and legal documents.
Provide data and analysis to management for decision-making, risk assessment, and continuous improvement.
Ensure confidentiality and accuracy in all HR and compliance documentation.
