Responsibilities & Context:

Position Overview

The Executive, SCM will play a pivotal role in ensuring the efficient and cost-effective sourcing of imported materials. The position requires strong analytical skills, vendor management expertise, and the ability to align procurement activities with organizational objectives. This role involves end-to-end responsibility for import procurement, from identifying needs and evaluating suppliers to monitoring shipments and maintaining compliance with internal policies and external regulations.

Key Responsibilities

  • Review inventory levels and coordinate with the production team to forecast and determine procurement requirements.
  • Collect and evaluate quotations from potential vendors and suppliers to ensure competitiveness and quality.
  • Prepare comparative statements (CS) and strategic work plans for imported materials to support decision making.
  • Arrange quality testing of materials from new suppliers to validate compliance with organizational standards.
  • Negotiate and finalize supplier terms and conditions in alignment with organizational objectives.
  • Process all procurement activities through ERP, including raising purchase orders, securing approvals, and uploading required documents.
  • Finalize purchase order terms and conditions to achieve cost efficiency and strategic sourcing goals.
  • Monitor shipment status and follow up with suppliers to ensure timely delivery and minimize delays.
  • Complete the full procurement cycle, from requisition to delivery, in compliance with policies and procedures.
  • Assist the Head of Department in preparing spot procurement plans to address urgent requirements.
  • Support the Head of Department in developing procurement strategies, policies, SOPs, and manuals to standardize import procurement practices.
  • Maintain accurate and updated records of purchased products, including specifications, quality standards, price trends, delivery schedules, and stock levels.
  • Perform any other responsibilities assigned by the Head of Department in line with organizational objectives.

Required Skills & Competencies

  • Strong knowledge of procurement and supply chain processes, particularly import procedures.
  • Excellent negotiation and vendor management skills.
  • Proficiency in ERP systems and MS Office tools.
  • Analytical mindset with attention to detail and accuracy.
  • Strong communication, coordination, and interpersonal skills.
  • Ability to work under pressure and manage multiple priorities.
