Job Context:
∎ A factory admin ensures the responsibility to recruitment, time keeping, attendance, discipline and all kinds of administrative activities.
∎ Direct Reports: Factory Manager
∎ Indirect Reports: GM (Sales & Marketing), Manager HR & Admin, QC Manager
∎ Reports to (Position): Factory Manager Location: Feni
∎ Department/Function: Admin

Job Responsibilities:
∎ Contribute to develop, update and implement the administration related SOPs for the plant.
∎ Ensure that workers and plant officials are following the attendance schedule, maintaining staff/worker identification tools properly and monitor to prepare daily as well as monthly attendance reports through software for both permanent & casual workers.
∎ Monitor closely to ensure that all the administrative and logistics issues i.e. cleanliness, utility services, accommodation, transportation, office equipment and tools, and canteen management etc. have been taken care of.
∎ Assist the plant head to draft and issue different types of official letters like memos, office orders, notices, circulars, warning letters, meeting minutes, etc.
∎ Ensure a harassment-free work environment for all employees working at the plant.
∎ Dig out the root causes and take necessary initiatives for reducing the employee absenteeism rate of the plant.
∎ Make sure that the grievance handling tools are in practice and immediate necessary measures have been taken to quench the grievance among the workers.
∎ Ensure that all necessary safety and security measures pertinent to fire and theft are available as per standard to protect the company properties and lives.
∎ Organize fire drill as per the schedule in collaboration with the respective authority.
∎ Implement all the health-safety and hygiene policies to ensure a safe workplace environment.
∎ Manage and coordinate the recruitment and selection process of the factory employees in collaboration with the Central HR Department.
∎ Prepare annual performance appraisal and annual increment sheet for all staff of the factory as per the guideline on Performance Management System (PMS).
∎ Build up rapport and maintain liaison with local law enforcing agencies and authorities.
∎ Interact with departmental heads to identify and remove any obstacles to foster an efficient and value driven work culture.
∎ Provides the necessary leadership and guidance to key employees and top performers through mentoring and identification of best practices to enhance performance efficiencies.
∎ Responsible for analyzing the business performance and review operation skill level to ensure corrective action
∎ To co-ordinate with different department for improving their working procedures
∎ Create a quality culture in the department
∎ Conduct training for overall operational sustainability.
∎ To carry out any other assignment given by the company or immediate superior.

∎ Internal: Production Supervisor, Store Supervisor, Production head.
∎ External: RM & PM Suppliers, Gov Organizations, Transport companies.
∎ Sound written and verbal communication in ENGLISH & BANGLA.
∎ Good understanding of Bangladesh labor law 2006 & Bangladesh labor rules 2015.
∎ Functional knowledge of ERP HR module.
∎ Excellent interpersonal skills, analytical ability, and problem-solving abilities.
∎ Basic level knowledge of Microsoft Word, Excel, PowerPoint.
