  • Good interpersonal and coordination skills

  • Ability to manage multiple tasks and priorities simultaneously

  • Good command of Microsoft Office, Google Workspace, email, and digital communication tools

  • Familiarity with CRM tools and task/workflow management platforms is an advantage

Responsibilities & Context:

About the Role

  • We are seeking a smart, organized, and dependable Executive Coordination Officer to support the smooth running of a fast-paced business advisory and strategic coordination practice. The role covers communications, scheduling, assignment tracking, follow-ups, and documentation, and sits close to senior leadership on high-level projects and corporate coordination activities.

  • The ideal candidate is highly organized, discreet, and comfortable managing multiple moving priorities someone who can maintain confidentiality, coordinate professionally with clients and stakeholders, and keep ongoing assignments on track. A strong coordinator in this role can dramatically improve organizational productivity by managing reminders, tracking commitments across workstreams, organizing stakeholder data, and producing clear daily action lists. This is a strong opportunity for a disciplined, detail-oriented, and intellectually curious professional who wants exposure to senior business leadership and strategic decision-making.

Key Responsibilities

  • Manage schedules, appointments, reminders, and follow-ups

  • Maintain organized records, notes, and assignment tracking

  • Coordinate meetings, calls, and communications with clients and stakeholders

  • Prepare summaries, meeting notes, and follow-up action lists

  • Draft professional emails, letters, and other communication materials

  • Track deadlines and ensure timely responses and submissions

  • Maintain confidentiality and professional discretion at all times

  • Assist with research, documentation, and project coordination tasks

  • Organize digital files, contacts, and workflow systems

  • Maintain CRM records and ensure stakeholder data stays accurate and current

  • Support workflow and task management systems to keep projects moving on time
