Responsibilities & Context: Job Context:
Fully responsible for all telephonic communication, in-coming & Out-going, thus maintaining the hotel Image.
Speaks clearly and distinctly with a friendly and courteous tone, uses listening skills to put callers at ease and obtains accurate and complete information. Answers incoming calls and directs them to guest rooms, hotel personnel or departments through the telephone console.
Takes and distributes messages for guests, provides information on guest services and answers inquires about hotel events. Provides a paging service for hotel guests and employees. Process guest wake - up calls.
Ensure proper functioning of telephone equipment in the hotel at all times.
Duties & Responsibilities:
- Must be polite and courteous while answering the phone
- Directs call to guest room, staff or department through the switchboard or PBX system.
- Places outgoing calls
- Receives guest messages and deliver the same to the guest.
- Logs all wake - up call requests and perform wake – up call services
- Provides information about hotel services to guests
- Assist guest when necessary e.g. calling doctor, obtaining the telephone number
- Be familiar with operation of computer terminal and understand the telephone operator board or PBX switchboard operations
- Check and ensure PABX equipment is operating efficiently
- Know and use correct front office terminology
- Provides paging services for hotel guests and employees
- Knows what action to take when an emergency call is required
- Monitors automated systems including fire alarms and telephone equipment.
- Assists in reporting, complaints and problems.
- Assists with training new telephone operators in performance of job duties
- To be fully aware of and adhere of health and safety, fire and bomb threat procedures
- Open and close telephone functionality on the hotel front office software
- Keep records of calls placed and received by all departments
- Set up conference calls in different locations and time zones
- Update directory information on the front office software
- Verify telephone equipment rental charges and long distance charges
- Provide relay service for hearing – impaired guests
- Suggest and assist in finding ways to improve the telephone system
- Bring any discrepancies to the attention of Communication Supervisor / AFOM / FOM
- Multitasking abilities will always come in handy, perform any other duties and services as assigned by Communication Supervisor
- Coordinate with Front desk, PR desk, Housekeeping Control desk, Security time desk & control desk, Reservation, Sales and Marketing, Restaurant, Kitchen, Banqueting, Accounts, Store.
