Responsibilities & Context:

We are seeking a motivated, detail-oriented individual to join our hotel Radisson Blu Chattogram Bay View (RBCBV) as a Reservations Agent. As part of our team, you answer phones and emails, assisting customers in booking suitable reservations at RBCBV. You accurately record customer information, including payment information, and advise customers on available upgrades or specials that may enhance their experience with us. You help customers in altering or cancelling reservations, as necessary. Our ideal candidate shall be excellent in phone and email manners, strong communication and customer service skills, and keen attention to detail.

  • Welcome guests professionally and assist them in identifying suitable booking options based on their preferences and travel dates.

  • Handle all reservation inquiries through phone calls, emails, and online channels in a prompt and courteous manner.

  • Create, modify, and cancel reservations accurately as per guest requirements and hotel policies.

  • Provide complete and accurate information regarding room types, rates, packages, hotel facilities, and upcoming events.

  • Promote ongoing offers, upgrades, and special packages through effective suggestive selling techniques to maximize revenue.

  • Offer alternative room categories, rates, and packages to guests when required to secure bookings.

  • Ensure all reservation requests are responded to within 24 hours and follow up when necessary.

  • Maintain proper documentation of all reservation records and ensure filing is organized for easy reference.

  • Manage reservation correspondence files according to arrival dates and ensure smooth coordination with relevant departments.

  • Record and process deposits, billing details, and credit card transactions accurately and securely.

  • Coordinate with the Accounts Department to ensure credit arrangements are properly established for company billing (charge back).

  • Adhere strictly to hotel rate control procedures based on availability, occupancy forecast, and revenue strategy.

  • Inform the Reservations Manager or Supervisor regarding potential sell-out dates and high-demand periods to ensure rate restrictions are applied properly.

  • Record and communicate guest special requests such as suites, special accommodations, and preferences to ensure service excellence.

  • Identify and forward potential sales leads to the Sales and Marketing team and other relevant departments.

  • Provide feedback and recommendations to the Reservations Manager for improving reservation processes, guest satisfaction, and departmental efficiency.

  • Maintain strong working knowledge of hotel services, facilities, and local attractions to effectively assist guests and promote the property.

  • Ensure a high level of guest satisfaction by providing genuine hospitality and exceeding guest expectations.

  • Handle guest complaints professionally by listening carefully, showing empathy, offering solutions, and ensuring proper follow-up.

  • Demonstrate teamwork, take responsibility, and provide personal attention to every guest to enhance their overall experience.

  • Ensure punctuality and maintain regular attendance as per duty schedule.

  • Follow hotel grooming, hygiene, and uniform standards at all times.

  • Maintain safety and minimize hazards by complying with all hotel safety rules and procedures.

  • Keep the immediate supervisor informed about unusual situations, guest issues, or operational challenges.

  • Perform all duties efficiently and in accordance with company policies, procedures, and departmental standards.

  • Maintain a positive and cooperative working relationship with all colleagues to promote a harmonious working environment.
