Responsibilities & Context: Appointment & Sales Tracking:
- Manage and track all appointments and sales using the proprietary LBHAB software system.
Record Keeping:
- Maintain detailed and accurate logs of visitor requests, inquiries, and call records.
Complaint Resolution:
- Handle customer complaints via phone, email, and other platforms, ensuring swift and effective resolution.
Client Communication:
- Provide clients with accurate information regarding treatments, services, and packages through phone, in-person, email, and social media.
Marketing Coordination:
- Work closely with the marketing team to support promotional campaigns and initiatives.
Sales Target Achievement:
- Meet or exceed monthly sales targets by attracting new clients and encouraging upselling of services and sessions.
Professional Conduct Oversight:
- Maintain high standards of professionalism and report any staff misconduct in front of clients immediately.
Reporting:
- Prepare and submit monthly reports on call center and client interactions, aligned with LBHAB standards.
Confidentiality & Price Disclosure:
- Maintain strict confidentiality of all treatment and product pricing; only share price ranges per management guidelines.
Weekly Client Feedback Reporting:
- Report weekly to management on client inquiries and responses regarding services and treatments.
Customer Service Excellence:
- Greet and assist visitors professionally, offering refreshments and ensuring a pleasant client experience.
Schedule Management:
- Monitor and coordinate doctor schedules and appointments using the LBHAB software system.
Service Promotion:
- Actively promote all available treatments, services, and packages to walk-in and online clients.
Additional Duties:
- Take on additional responsibilities as assigned by management, including departmental oversight if required.
Data Entry & Accuracy:
- Ensure accurate input of client data, prescriptions, and treatment records in the LBHAB system.
Sales Strategy Contribution:
- Support sales efforts with strategic suggestions to improve client conversion and retention.
Privacy & Data Protection:
- Uphold strict confidentiality of both customer and staff information at all times.
Customer Satisfaction Monitoring:
- Ensure clients leave satisfied and that any issues are handled promptly and professionally.
Social Media Marketing Support:
- Leverage Facebook, Instagram, Google, and YouTube to attract and engage new clients.
Client Testimonial Collection:
- Collect and manage client feedback, reviews, and video testimonials with appropriate permissions for marketing use.
