Responsibilities & Context:
Departmental Supervision and Coordination:
Supervise daily operations of all sections under the Administration Department.
Coordinate activities across Security, Medical, Travel Desk, Expatriate Management, Hospitality, Housekeeping, and General Administration units.
Ensure proper manpower deployment, task allocation, and monitoring of operational performance.
Assist the Senior Manager in improving administrative systems, procedures, and service standards.
Security Management:
Oversee factory security operations including access control, visitor management, asset protection, and perimeter monitoring.
Ensure proper functioning of CCTV systems and security protocols.
Conduct periodic inspections of security posts and systems.
Investigate security incidents and ensure timely corrective actions.
Medical and Employee Welfare Facilities:
Supervise factory medical center operations to ensure availability of required medical services.
Ensure compliance with statutory requirements related to workplace medical facilities.
Monitor emergency response readiness, first-aid arrangements, and employee welfare support.
Oversee company transport management including employee transport scheduling, vehicle allocation, and coordination.
Hospitality and Guest Management:
Manage hospitality arrangements for visitors, auditors, buyers, and corporate guests.
Supervise guesthouse operations and meeting facility arrangements.
Coordinate logistics for official visits and internal corporate events.
General Administration and Facility Management:
Oversee office administration including utilities, office supplies, administrative logistics, and facility services in coordination with TPM Department.
Ensure maintenance of factory buildings, administrative offices, and common facilities in coordination with TPM Department.
Support operational departments by ensuring uninterrupted administrative services.
Housekeeping and Workplace Environment:
Ensure cleanliness and hygiene standards across factory premises, offices, and common areas.
Supervise housekeeping teams and cleaning schedules to maintain workplace standards.
Transport Facility Management:
Plan, manage, and monitor company transport operations.
Ensure proper vehicle allocation for employees and management.
Maintain vehicle schedules, routes, and trip records.
Monitor fuel consumption and control transport costs.
Supervise drivers and ensure discipline and duty compliance.
Ensure regular vehicle maintenance, servicing, and fitness.
Handle vehicle documentation (registration, insurance, tax, fitness certificates).
Ensure safe and timely transportation services.
Regulatory Compliance and OSH Support:
Ensure administrative functions comply with regulatory requirements, labor laws, and workplace standards.
Support Occupational Safety and Health (OSH) compliance by maintaining necessary facilities and administrative controls.
Facilitate internal and external audits related to regulatory, social compliance, and OSH requirements.
Maintain documentation and records required for regulatory inspections and compliance verification.
Handle all police-related issues, GD (General Diary), and case follow-ups.
Liaise with local police stations and law enforcement agencies.
Prepare necessary documents related to legal cases and investigations.
Ensure proper representation of the company in legal matters.
Monitor case status and provide regular updates to management.
Any other tasks as assigned by the management.
