Key Responsibilities
A) Tour Planning & Travel Operations
· Consult clients to understand travel purpose, budget, travel dates, destinations, and service needs.
· Prepare day-by-day itineraries, tour plans, and travel schedules (transport, sightseeing, free time, rest time).
· Prepare tour quotations and cost breakdowns (hotel, transfers, activities) and revise based on client feedback.
· Coordinate reservations and bookings (flights, hotels, transport, attractions) as assigned by management.
· Provide travel briefing and final document handover (itinerary, bookings, insurance, guidelines) before departure.
B) Tourist Visa Processing
· Prepare tourist visa document checklists and guide clients on required supporting documents.
· Complete application forms accurately and draft supporting documents (cover letter, itinerary, explanation letters).
· Verify client documents for correctness and consistency (names, passport details, dates, funds, employment).
· Book visa appointments (embassy/VFS/visa center) and guide clients for biometrics and photo requirements.
· Submit visa applications via online portals or visa centers and maintain complete case files and submission records.
· Track application status, communicate updates to clients, and respond to additional document requests on time.
· Ensure ethical compliance: no false documents, no misleading information, and strict confidentiality of client data.
C) Work Permit / Employment Visa Processing
· Support work permit / employment visa processing as per destination requirements and company procedure.
· Collect and prepare employer and candidate documentation (job contract, demand papers, sponsorship letters, etc.).
· Coordinate medical, police clearance, training, and other mandatory steps depending on destination and category.
· Maintain processing timelines for each candidate and ensure readiness for submission and deployment stages.
D) New Labour Recruitment & Coordination
· Source new candidates through local networks, referrals, and online channels as per manpower demand.
· Conduct preliminary screening and basic interviews; verify eligibility (passport, experience, skills, readiness).
· Prepare candidate profiles/CVs and submit to foreign employers/partners for shortlisting and selection.
· Coordinate trade tests/interviews and ensure candidates receive timely instructions and schedules.
· Maintain a structured candidate database and recruitment pipeline report (sourced, shortlisted, selected, deployed).
E) Reporting & Administration
· Maintain soft and hard copy files for each client/candidate with proper checklists and document logs.
· Prepare daily/weekly reports on tours prepared, visas submitted, work permits in progress, and recruitment status.
· Coordinate with sales, accounts, and operations teams to confirm payments, scope of service, and delivery timelines.
· Handle client communication professionally via phone/WhatsApp/email and resolve queries promptly.
F) Lead Management & Customer Acquisition
· Handle inbound and outbound lead calls/messages professionally and convert enquiries into confirmed clients.
· Follow up with prospective customers, explain service packages, and close bookings/visa service orders.
· Maintain a lead tracker/CRM (Excel/CRM tool) with call logs, follow-up dates, and conversion status.
· Achieve monthly customer acquisition targets set by management (new customers, bookings, visa cases).
· Support digital/field marketing activities by responding quickly to campaign leads and arranging consultations.
Performance Indicators (KPI Examples)
· On-time delivery of itineraries and visa submissions with zero major documentation errors.
· Number of completed visa submissions per month and case file completeness rate.
· Client satisfaction and response time for updates and queries.
· Recruitment pipeline performance (new candidates added, shortlisted, selected).
· Lead conversion rate and achievement of monthly new customer/booking targets.
