Responsibilities & Context:
∎ Procurement Process Management: Oversee and guide the procurement process, including review of purchase requests, obtaining quotes, conducting bid analysis, CBA recommendations, and, upon approval, procuring necessary supplies and coordinating their delivery. Guarantee the efficient sourcing, acquisition, and delivery of materials, goods, and services, ensuring these processes are timely and cost-effective.
∎ Procurement Contract Supervision: Administer and monitor all procurement contracts for goods and services, ensuring accurate record-keeping and tracking of vendor performance.
∎ Supplier/Vendor Information Management: Accurately maintain and regularly update supplier/vendor data for frequently procured items, stay abreast of local market trends, and cultivate strong relationships with suppliers/vendors.
∎ Departmental Collaboration: Work closely with different departments to address procurement and supply chain concerns, offering essential assistance and coordination in planning and process execution. This includes frequent evaluation and joint efforts for continuous enhancements.
∎ Logistical Procedure Analysis: Analyze and improve logistical procedures, ensuring the safe and prompt pick-up and delivery of shipments while monitoring costs, timelines, and productivity.
∎ Supply Chain Oversight: Facilitate all supply chain operations, including inventory management, storage, and transportation, as well as the review, preparation, and routing of purchase orders according to warehouse capacity and supply chain requirements.
∎ Shipment and Inventory Issue Management: Manage and resolve any discrepancies in shipments and inventory. This includes active communication and negotiation with suppliers, vendors, and retailers, as well as regular updates and reports to the programs and F&L Manager.
∎ Oversight of Logistics Activities: Oversee and coordinate all aspects of logistics operations. This encompasses vendor engagement and enrollment, procurement process management, supply chain supervision, and ensuring the security of assets and warehouse facilities in compliance with organizational policies and procedures.
∎ Coordination of Competitive Bid Analysis: Facilitate regular meetings with departmental leaders to analyze competitive bids, aiming to optimize procurement strategies.
∎ Technical Assistance in Warehousing: Provide expert technical support related to warehousing to various departments, contributing to the efficiency of logistics operations.
∎ WAREHOUSE, EQUIPMENT AND PROPERTY (35%):
∎ Property and Equipment Management: Ensure that all YPSA-CPI assets, such as the vehicle fleet, communication devices, and other equipment, are acquired, utilized, replaced, disposed of, and recorded following YPSA-CPI's policies and procedures.
∎ Asset and Material Tracking: Ensure the implementation of a comprehensive and current system for tracking assets and materials throughout the procurement and distribution phases. Maintaining Assets register to identify the assets usable (Functional) and non-usable (non-functional).
∎ Security Monitoring: Continually assess and respond to security situations affecting fleet management, including roadblocks, protests, weather conditions, and other relevant security issues.
∎ Warehouse Security Management (a): Manage the security of the warehouse, addressing incidents, losses, and thefts effectively.
∎ Warehouse Security Management (b): Regularly visit the Warehouse of Medicine and check & monitor the Warehouse as per SoP of Medicine. Regularly follow-up expired dated medicine and other medical items for record and destruction.
∎ Support in the development and implementation of policies and procedures for the safe and efficient use of the organization's vehicles.
∎ Ensure effective utilization of vehicles and support cost-reduction efforts.
∎ REPORTING (10%):
∎ Inventory Report: Compile and produce inventory reports, including details on overstock, expiry, and balance, on a monthly, quarterly, and yearly basis.
∎ Logistics Activity Reporting: Coordinate and oversee the reporting of standard and emergency logistics operations, encompassing inventory, in-kind donations, transportation, equipment, and the safety and security of communications, warehouse, and fleet.
∎ Cost and Transportation Reporting: Generate and manage detailed reports on logistics costs and transportation metrics.
∎ Procurement Tracking: Generate and manage detailed procurement plans and reports on procurement processes, delays, monitoring of processes, evaluation, and learning.
∎ CROSS COORDINATION (10%):
∎ Internal Department Representation: Act as the Logistics Department's representative under the guidance of the F&L Manager in internal cross-departmental collaborations, meetings, and activities.
∎ External Representation in Logistics Sector: Serve as the organization's delegate in external logistics sector events, including workshops and training sessions as necessary.
∎ Forum Participation and Collaboration: Represent the organization in various forums, engaging with partners, authorities, and local entities active in the logistics field.

∎ Job Summary: YPSA-CPI is seeking an experienced Senior Logistics Coordinator to oversee the logistics of the organization with a particular focus on medical warehouse and WASH stock management. Under the guidance of the Lead Technical Advisor/CXB Project Director, the Senior Logistic Coordinator will be responsible for the entire lifecycle of our stock, from procurement to distribution, ensuring adherence to quality standards and efficient resource utilization.
