Experience:
1. Position Summary
The Senior Assistant Coordinator will lead and coordinate day-to-day operations of the SHOJON tele–mental health service. This position ensures high-quality service delivery through continuous monitoring, supervision, data management, financial coordination, app development support, and people management. The role requires strong organizational, analytical, and communication skills, along with sound understanding of clinical processes in mental health service delivery.
2. Key Responsibilities
A. Service Quality Improvement & Monitoring
1. Improve service quality through regular monitoring and feedback sharing.
2. Monitor and analyze client feedback data to enhance service performance.
3. Facilitate mentoring sessions for counselors and CCRs.
4. Coordinate individual and group supervision sessions with external supervisors.
5. Ensure efficient staff utilization for optimum service coverage.
B. Reporting, Data Management & Documentation
1. Prepare monthly program reports.
2. Assist in drafting and finalizing supervision session reports.
3. Maintain and update cumulative data, including incoming/outgoing calls, session details, revenue status, and follow-up information.
4. Prepare operational documents including concept notes, MoU, guidelines, SOPs, protocols, scripts etc.
C. Financial Management
1. Prepare PRF, invoices and process regular monthly bills.
2. Prepare monthly budget variance reports.
3. Provide feedback on ongoing budget updates and financial planning.
D. Clinical Input for Content Development & Others
1. Prepare scripts and review content for social media platforms, ensuring clinical accuracy.
2. Assist and involve in content development (both static & video making).
3. Provide clinical feedback for wellness session planning, session content, and other related materials.
4. Planning and facilitate wellness sessions.
E. Support in Healthy App Integration
1. Provide clinical input for the Healthy App features, workflows, and content.
2. Identify and share required program updates with the development team.
3. Monitor app operations and provide technical and clinical feedback for improvement.
F. People Management
1. Supervise two CCRs and one in-house Counselor.
2. Mentor remote on demand Counselors to ensure quality service delivery.
3. Provide support in HR-related matters including recruitment, performance monitoring, and coordination.
3. Required Qualifications
• Master’s degree in clinical psychology, counseling psychology, or related fields.
• Minimum 3–5 years of experience in mental health program operations or service management.
• Experience in counseling, supervision, or telehealth services (preferred).
• Strong documentation, reporting, and communication skills.
• Ability to manage teams and coordinate multiple stakeholders.
• Understanding of mental health service systems, clinical protocols, and client data management.
• Comfort in working with digital platforms, apps, and technology-based solutions.
• Comfort with need based mandatory field visits (inside or outside Dhaka).
