Responsibilities & Context:

Front Desk Management:

    • Greet and welcome visitors in a polite and professional manner.
    • Direct visitors to the appropriate person or department.
    • Maintain visitor logs and issue visitor passes when necessary.

Telephone Handling:

    • Answer, screen, and forward incoming calls promptly and courteously.
    • Take accurate messages and ensure timely delivery to concerned staff.
    • Handle inquiries and provide basic company information over the phone.

Administrative Support:

    • Manage incoming and outgoing mail, couriers, and deliveries.
    • Maintain and update office records, files, and contact lists.
    • Assist in scheduling meetings and appointments.

Office Coordination:

    • Keep the reception area clean, organized, and presentable.
    • Coordinate with office staff for administrative and support tasks.
    • Order and maintain office supplies as needed.

Customer Service:

    • Respond to client or visitor queries with professionalism and helpfulness.
    • Ensure a positive first impression of the company at all times.

Reporting & Communication:

    • Prepare daily visitor or call reports if required.
    • Communicate important messages or updates to management promptly.
