1. Administration & Team Management
Effectively administer and supervise the facility management team to ensure smooth operations.
Prepare and manage duty rosters for all team members.
Ensure the discipline, punctuality, and professional conduct of all staff, as per the roster.
Continuously monitor team members' performance and ensure compliance with operational standards.
Conduct regular briefings and performance evaluations to identify gaps and take corrective actions.
2. Facility Operations & Quality Assurance
Oversee daily building operations, including security, cleaning, utilities, and technical services. services and identify areas for improvement.
Evaluate the quality of facility management, Troubleshoot operational issues promptly, and ensure effective resolutions.
Report service performance, operational status, and quality assessments to the FMS Department. Maintain a clean and well-organized environment through systematic deployment of the cleaning team across common and surrounding areas.
3. Billing, Collection & Documentation
Prepare and send invoices for service charges and utility bills promptly. charges and maintain updated records.
Ensure professional collection of service. Enter all bills and vouchers into the management software accurately.
Maintain expense registers and organize all financial documents systematically in designated files.
4. Customer Service & Communication
Receive tenant/customer complaints, record them in the complaint register, and ensure timely resolution.
Maintain regular communication with occupants, service providers, and management.
Ensure customer satisfaction through prompt response and professional service delivery.
5. Security & Safety Oversight
Check and verify security duty rosters and ensure correct deployment at all points.
Monitor security personnel performance and ensure adherence to safety protocols.
Participate in safety audits, emergency response planning, and implementation of corrective measures.
6. Additional Responsibilities
Submit periodic reports related to operations, billing, service performance, and maintenance activities.
Carry out any additional tasks assigned by Management.
