Additional Requirements:

∎ • Minimum of 3-4 years of experience in Information Technology and administration, preferably within an NGO or international organization.
∎ • Strong knowledge of Network Engineer/Network Administrator, Hardware Engineer, IT System Management
∎ • Excellent organizational and multitasking skills.
∎ • Skills on Microsoft office package.

∎ Position Overview:
∎ The IT, Admin & Procurement Assistant will be responsible for managing the IT functions and Assist in administrative & procurement processes of Muslim Hands International Bangladesh. This role involves ensuring efficient IT operations, adherence to organizational policies, and effective administrative and procurement related practices to support programmatic activities.
∎ Key Responsibilities:
∎
∎ IT (50%):
∎ • To plan, design and implement IT and Telecommunication systems as required to fulfil the operational needs.
∎ • To install, configure, maintain and repair computer networks (including Router, Switch, Access Point, Network data backup, Network Printers etc.), Power backup systems, Computer equipment (hardware & software) and to ensure their effective functioning according to the set standard and procedure.
∎ • Manage network infrastructure, ensuring stability and security.
∎ • To manage beneficiary database, server or other information management systems.
∎ • To routine check up on the accessibility and availability of the internet service, server database etc. services and take appropriate corrective actions in case of any failure or problem.
∎ • To liaise with Internet Service Provider (ISP) and other vendor & suppliers of the ICT products where appropriate.
∎ • To ensure prompt response to users' calls for necessary troubleshooting (includes all field office staffs in Gazipur, Sylhet, Cox’s Bazar and visitors).
∎ • To disseminate the proper ICT procedures, adapt to the local needs and assist in hands on Training.
∎ • To maintain IT Asset Inventory and ensure insurance coverage.
∎ • To participate in the technical evaluation of the bids and provide necessary Technical Support for IT Procurement according to the Standard procedure.
∎ • To maintain standard filing following paper-based procedure as well as Online System.
∎ • To work towards ICT capacity development of Muslim Hands International staffs.
∎ • To coordinate with Global ICT team and regular field visit to monitor IT & Administrative issues in the field offices.

∎ Administration (30%):
∎ • Oversee day-to-day administrative functions, ensuring efficient office operations.
∎ • Assist to Manage office supplies, inventory, and equipment maintenance.
∎ • Assist Admin & Procurement Officer for the periodical verification of the MHIB Asset, maintenance of equipment and vehicles, travel, store's inventory and management. Report any missing and unfound assets.
∎ • Handle correspondence, documentation, and filing systems.
∎ • Assist to the Administration & Procurement officer on Office stock and asset management.
∎ • Assist in organizing meetings, workshops, and events.
∎ • Support and organize staff movement (national/international plan) along with bus/plane/train ticket and hotel reservation.
∎ • Support the Administration & procurement officer and other senior staff with administrative tasks.
∎ • Assist in managing office vehicle (ensure fuel, maintenance and legal issues) following employee movement plan.

∎ Procurement (20%):
∎ • Assist in preparing and processing purchase orders, contracts, and agreements.
∎ • Assist in ensuring timely and accurate delivery of goods and services.
∎ • Assist in Maintaining proper archive of procurement related records and documentation for auditing purposes.
∎ • Assist in ensuring compliance with organizational procurement policies, NGOAB regulations and donor requirements.
∎ • Any other work-related duties and responsibilities that may be assigned by the line manager.
