∎ Age 25 to 30 years

Responsibilities & Context:
∎ Conduct regular inspections of the factory premises at both OIL & OTL locations.
∎ Monitor and ensure the proper functioning of the CCTV surveillance system.
∎ Verify and maintain the attendance register for accuracy and compliance.
∎ Review and update the security duty register to ensure proper security arrangements.
∎ Supervise and ensure cleanliness and hygiene standards across the factory premises.
∎ Oversee canteen management, ensuring quality control and proper operations.
∎ Provide daily briefings to the Director (HRD) regarding previous issues and factory visits.
∎ Handle and process all incoming and outgoing correspondences efficiently.
∎ Maintain, update, and process employee leave records.
∎ Draft, issue, and circulate various types of official notices as required.
∎ Monitor and ensure the proper functionality of the firefighting system.
∎ Conduct worker counseling sessions to address grievances and concerns.
∎ Inspect and maintain first aid boxes, ensuring they are fully stocked.
∎ Check and respond to emails as per official requirements.
∎ Liaise with BEPZA and other regulatory authorities to resolve any compliance issues.
∎ Oversee and execute disciplinary actions as per company policies.
∎ Manage and ensure timely payment of all utility bills.
∎ Process, procure, and distribute monthly stationery supplies.
∎ Issue BEPZA medical passes to employees as per requirements.
∎ Handle the renewal of all factory licenses and certifications.
∎ Maintain and update vehicle-related documentation and legal papers.
∎ Process and oversee the sale of factory waste materials.
∎ Prepare salary sheets, ensuring accuracy and timely disbursement.
∎ Prepare and process overtime payment sheets.
∎ Prepare holiday allowance sheets for eligible employees.
∎ Organize and conduct employee training programs.
∎ Manage the end-to-end recruitment process, including candidate selection.
∎ Handle post-recruitment formalities, including onboarding and documentation.
∎ Manage employee exit procedures, including clearance and final settlements.
∎ Calculate and maintain earned leave records for employees.
∎ Oversee and facilitate the performance appraisal process.
∎ Manage and coordinate visitor access and security protocols.
∎ Ensure compliance with all internal and external audits.
∎ Support compliance-related matters to meet regulatory and organizational standards.
∎ Organize and oversee the annual factory picnic and employee engagement activities.
∎ Handle external legal matters related to employment and labor issues.
∎ Plan and oversee the rearrangement and renovation of employee facilities and factory premises.
∎ Serve as the Secretary of the Purchase Committee, ensuring efficient procurement processes.
