Alam Textile & Garments is seeking a highly capable, energetic, and dependable Executive Secretary to the Director to act as a central coordination point across all concerns of Alam’s.
This is a strategic execution and coordination role requiring strong communication, disciplined follow-up, sound judgment, and the ability to move across functions, offices, units, factories, and stakeholders to ensure the Director’s instructions are effectively carried out.
The successful candidate will serve as a key operational and administrative hub, maintaining close coordination with internal teams, external stakeholders, and management to ensure alignment, responsiveness, and execution excellence.
Act as the primary coordination and communication link between the Director and all concerns of Alam’s
Communicate, follow up, and ensure timely implementation of the Director’s instructions, priorities, and decisions
Coordinate across operations, administration, HR, commercial, supply chain, finance, factory, and support functions as required
Maintain regular liaison with internal departments, business units, vendors, service providers, partners, and other stakeholders
Prepare and manage official correspondence, letters, meeting notes, summaries, reports, and presentations
Track progress of key assignments and ensure timely updates, escalations, and closures
Arrange and coordinate meetings, visits, schedules, travel plans, and business appointments for the Director
Visit offices, factories, sites, or stakeholder locations as needed to support follow-up, supervision, coordination, and issue resolution
Support the Director in overseeing operational and administrative matters across the organization
Maintain confidentiality of sensitive communications, documents, and management discussions
Assist in preparing management briefs, dashboards, MIS inputs, action trackers, and coordination updates
Ensure smooth day-to-day communication and workflow between the Director’s Office and all relevant concerns
Handle urgent matters, special assignments, and executive office responsibilities as assigned by the Director
Bachelor’s degree in Business Administration, Management, English, Public Administration, or related discipline
Candidates with relevant professional exposure or executive office training will receive preference
3 to 5 years of relevant experience in Executive Secretary / Executive Coordinator / Executive Assistant / Director’s Office / Senior Management Support role
Experience in Textile, Garments, Manufacturing, Group of Companies, or Multi-Concern Business Environment will be strongly preferred
Excellent communication skills in English and Bangla (both written and spoken)
Strong ability to manage interdepartmental coordination and executive follow-up
High level of professional maturity, discretion, and confidentiality
Strong command of MS Office (Word, Excel, PowerPoint, Outlook)
Excellent reporting, documentation, and business correspondence skills
Ability to work in a dynamic, fast-paced, and demanding environment
Strong organizational, multitasking, and problem-solving capability
Ability to deal with senior management, operational teams, and external stakeholders
Strong travel flexibility and readiness for on-ground coordination when required
Capable of independently handling pressure, urgency, and multiple priorities
Must be highly proactive, responsive, disciplined, and execution-oriented
Should be willing to undertake rigorous and frequent travel as required by business needs
Must be comfortable working beyond routine office coordination and taking ownership of cross-functional follow-up
Experience in supporting a Director / Chairman / CEO / HR Lead/ Group Management
Must possess a strong sense of accountability, urgency, and professionalism
