Responsibilities & Context:
∎ Prepare daily balance sheets for all bank card personalization activities.
∎ Generate and send daily reconciliation and card issuance reports to HR for accurate bank stock updates.
∎ Create and dispatch daily summary reports (e.g., Bank Asia Debit & Agent) to the courier, and ensure delivery copies are sent to respective banks after card receipt confirmation.
∎ Review, verify, and sign ISO sheets for all bank personalization and plastic card batches to maintain process integrity.
∎ Ensure all personalization data and materials meet regulatory and quality standards before delivery.
∎ Maintain and preserve daily personalization delivery and received records, organized by bank, for internal audit readiness.
∎ Ensure document traceability and proper archiving for compliance and operational transparency.
∎ Generate and dispatch monthly card issuance and stock reports to respective banks.
∎ Review and authorize the monthly Vault Control Log to confirm inventory accuracy and control measures.
∎ Act as the key backup personnel for inventory operations during absence of Vault Executive, ensuring timely card delivery to the personalization room.
∎ Maintain confidentiality and security of vault access and card movement.
∎ Generate dispatch reports, coordinate with couriers, and ensure timely printing and shipment.
∎ Track courier records and maintain follow-up for secure delivery of cards.
∎ Serve as a communication bridge between Inventory, Personalization, HR, and Banking Partners to ensure smooth information flow and issue resolution.
∎ Respond to queries from internal departments and banks in a timely and professional manner.
∎ Continuously monitor workflow efficiency and recommend improvements to reduce errors and enhance turnaround time.
∎ Ensure accuracy in all data entry and reporting tasks, contributing to overall operational excellence.
∎ Uphold strict confidentiality standards when handling sensitive card and client information.
∎ Follow security protocols and ensure all activities align with regulatory compliance and internal policies.
∎ Carry out any other task assigned by management to support departmental goals and business continuity.

∎ 4.Monthly Reporting & Inventory Oversight:
∎ Generate and dispatch monthly card issuance and stock reports to respective banks.

∎ 5.Vault Operations & Backup Support:
