Job Responsibilities:
∎ Manage the calendar of Director and Programme Head and arrange their daily schedule (set up meetings, conference, workshop, speaking engagements).
∎ Arrange and coordinate national and overseas travels and itineraries of the supervisors successfully within time frame.
∎ Oversee logistical and administrative support for organising events of HRLS such as workshops, seminars, meetings and conferences.
∎ Maintain and track head office documents e.g. minutes, circulars, job description, and newsletters as well as maintains and track requisition of field materials and central HRLS materials stock management.
∎ Prepare budget of different HRLS events with regards to venue bookings, food costs and logistical support.
∎ Conduct and ensure timely communication with BRAC Programmes and external stakeholders.
∎ Read and analyze incoming letters, faxes, e-mails in order to determine their importance and plan their distribution.
∎ Act as the point of contact between the Director and internal or external colleagues and manage information flow.
∎ Act as the gender focal from BRAC, HRLS
∎ Maintain the filing of contracts, CV’s, MoU’s and relevant agreements for the Director’s office.
∎ Maintains e calendar regularly, checks attendance and visits to maintain transparency.
∎ Handle all mailing and courier needs.
∎ Ensure the safety of team members from any harm, abuse, neglect, harassment and exploitation to achieve the programme’s goals on safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.
∎ Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.
∎ Follow the safeguarding reporting procedure in case any reportable incident takes place, encourage others to do so.
Additional Requirements:
∎ Acquainted with office management systems and procedures
∎ Aware of the latest office gadgets and applications
∎ Excellent in MS Office Skills ( MS word, Excel, Power point etc.)
∎ Excellent verbal and written communications skills both in Bangla and English
∎ Outstanding organisational and time management skills
