Responsibilities & Context:

This position will lead the entire SCS documentation team for Ocean Freight – Export (nomination + local) and oversee customer service for few nomination accounts. This role ensures accurate and timely preparation of shipping documents such as FCR/HBL etc., including SI submission, manifests, VGM submission, FMC/AMS/ISF filling, CW1 imaging/uploading and BL surrender/Telex tasks, compliance with international regulations especially USA, CANADA, LATAM, EU and delivery of exceptional customer experience. The position requires strong managerial, operational expertise, and a customer-centric approach.

Job Description in details:

Documentation Management

  • Supervise and manage all ocean freight export documentation processes (FCR/HBL etc., including SI submission, manifests, VGM submission, FMC/AMS/ISF filling, CW1 imaging/uploading and BL surrender/Telex tasks).

  • Ensure compliance with international shipping regulations, Incoterms, and customer SOPs.

  • Review and approve documentation for accuracy before submission to carriers, customs, and clients.

  • Coordinate with internal teams and external stakeholders for timely document flow.

 Customer Service

  • Act as the primary escalation point for customer inquiries and complaints related to ocean freight export shipments.

  • Maintain strong relationships with clients, shipping lines, and agents to ensure smooth operations.

  • Provide proactive updates on shipment status and resolve service issues promptly.

  • Collaborate with customer service, sales, and operations teams to enhance customer satisfaction and retention.

 Operational Excellence

  • Monitor shipment lifecycle: From booking-job creation-stuffing-departure, pre-alerts, governmental filings, invoicing, and delivery execution.

  • Drive process improvements to reduce errors and TAT.

  • Ensure high data integrity in shipment records and documentation systems.

Team Leadership

  • Lead, coach, and develop the documentation team.

  • Conduct training sessions on compliance, documentation standards, and CargoWise.

  • Set performance goals and monitor KPIs for team efficiency.

Compliance & Reporting

  • Ensure adherence to company policies, maritime regulations, and audit requirements.

  • Prepare weekly/monthly reports on documentation accuracy, customer service metrics, and operational performance.

  • Review monthly scorecard received from regional office.
