Job Responsibilities:
∎ Under the overall guidance and supervision of the SMEP Logistics Officer, the incumbent will be responsible for the following duties:
∎ Process and manage routine administrative and financial tasks to contribute to the effective and timely management of resources
∎ Manage and maintain paper and electronic records within the area of responsibility in accordance with established procedures, to ensure swift and easy data access as required.
∎ Enter accurate data in the corporate systems within the established deadlines and be a first point of contact for internal SAP/WINGs actions and data entry to facilitate the provision of efficient and effective resolution of operational support issues.
∎ Provide basic analysis on funds, grant balances, procurement tracking, progress reporting and refer to the supervisor discrepancies, to support maximum fund utilization and decision-making process.
∎ Maintain communication with a number of individuals regarding project management matters and related processes to clarify any discrepancies and optimise use of resources.
∎ Compile data and provide basic analysis, maintain accurate records and files and prepare periodic and ad hoc reports for further reviews, to support accuracy and efficiency of information presented to internal and external stakeholders.
∎ Collate information for inclusion in reports, documents and correspondence, to support the effective work of other staff.
∎ Manage and maintain records and databases, to ensure information is organised and readily available for staff.
∎ Perform administrative procurement activities in a timely and efficient manner, to support Professional staff in the acquisition of goods and services for efficient field operations.
∎ Review, record and prioritise purchasing requests, ensuring all supporting documentation is received, and funding is available, in order to enable the procurement of goods and services.
∎ Compile data, prepare and distribute documents, to support successful procurement programs and operational activities, (e.g. issue tenders, evaluate offers and negotiate/award contracts), ensuring standard processes are followed.
Additional Requirements:
∎ 3 or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.
∎ Knowledge & Skills:
∎ Proficient in the use of office equipment and computer software packages, such as Microsoft Word.
∎ Knowledge of work routines and methods in order to complete processes under minimal supervision.
∎ Uses tact and courtesy to give and receive information to a wide range of individuals.
∎ Ability to identify data discrepancies and rectify problems requiring attention.
∎ Ability to offer guidance or basic on-the-job training to more junior staff.
