Job Context:
∎ To assist with the smooth-running of the office
∎ To provide full administrative support to the administration team a as required
∎ To arrange internal meetings
∎ To project a professional image of the company at all times
Job Responsibilities:
∎ GENERAL OFFICE ADMINISTRATION
∎ Process and distribute applications
∎ Carry out general admin duties e.g. writing letters, contracts, HR Memos, Notices etc.
∎ Maintain the general email accounts (info@ and admin@), responding to queries /
∎ directing inquiries as required
∎ Assist in the upkeep of contact records, including staff and weekly reports
∎ Order stationary, first-aid equipment and sundries
∎ Maintaining a clean, tidy and orderly Admin and HR office
∎ DAY TO DAY RUNNING OF THE OFFICE
∎ Supervise management of building and locker keys
∎ Manage the electronic/manual noticeboard, updating as required
∎ Update all G Drive sheets on records, maintain hard copies
∎ INTERNAL MEETINGS
∎ Assist with organizing meeting rooms (booking space, arranging furniture etc.).
∎ Organize refreshments for meetings, including ordering refreshments
∎ Assist with the preparation and circulation of meeting papers
∎ Write minutes for fortnightly staff meetings, monthly admin meetings as required.
∎ RECRUITMENT AND CESSATION
∎ Manage staffing requests
∎ Prepare adverts for posting
∎ Screen applicants and conduct interviews
∎ Maintain hire documentation
∎ Complete hiring protocol
∎ Complete cessation protocol
∎ OTHER
∎ Process Disclosure & Barring Service (DBS) checks
∎ Issue ID passes for staff
∎ Arrange travel and accommodation for national and international trips
∎ General administrative support for the administration team as required
∎ Undertake other duties commensurate with the level of this position
∎ PERSON SPECIFICATION
∎ Essential Skills & Experience:
∎ Degree in any discipline, preferably Business Administration (English Medium preferred) major HRM
∎ Minimum of two years of consecutive HR & Admin experience preferably in a group of company
∎ Excellent working knowledge including MS Office (Word, Excel, Outlook, PowerPoint)
∎ Excellent interpersonal, oral and written communication skills
∎ Ability to work independently and as part of a small office team
∎ Ability to establish good working relations at all levels of the Institution - with students,
∎ teachers, senior management, Board of Trustees, Inner Circle membership group etc.
∎ A pleasant manner with visitors
∎ Good organization skills, ability to multi-task, priorities effectively and work to tight deadlines
∎ Understanding of equal opportunities
∎ Minute writing skills.
