Experience:

Job Summary
Mastul Foundation is looking for a dynamic, responsible and result-oriented Assistant Program Manager – Operations to support the effective planning, implementation, supervision and monitoring of organizational programs and field-level activities.
The incumbent will work closely with the Program/Operations management and field teams to ensure that program activities are implemented properly, beneficiaries receive appropriate services, field operations remain organized and timely reports and documentation are maintained.
Key Responsibilities
Assist the Program/Operations management in planning, implementing and monitoring organizational programs and field activities.
Supervise and coordinate field-level activities and ensure proper implementation of approved work plans.
Regularly visit project sites and monitor the quality, progress and effectiveness of ongoing activities.
Ensure that field staff properly understand and follow assigned responsibilities, operational procedures and organizational policies.
Coordinate with field officers, project staff, volunteers and other relevant team members for smooth implementation of activities.
Monitor beneficiary-related activities and ensure proper communication, follow-up and service delivery.
Identify operational challenges at field level and report them to the appropriate authority with practical recommendations.
Prepare and review daily, weekly and monthly activity updates, progress reports and other operational documents.
Maintain proper records, databases, beneficiary information, attendance, activity reports and other relevant documentation.
Assist in organizing meetings, training, workshops, community activities and other program events.
Coordinate with Administration, HR, Finance, Procurement, Communication and other departments whenever operational support is required.
Ensure proper utilization of organizational resources, materials, vehicles and other operational facilities.
Monitor field staff attendance, movement, work discipline and performance and report significant issues to the management.
Maintain regular communication with beneficiaries, community representatives, local stakeholders and relevant authorities when required.
Support management in assessing field needs, identifying gaps and developing practical solutions.
Ensure that organizational policies, safeguarding principles, confidentiality and professional standards are maintained during program implementation.
Support the preparation of project proposals, concept notes, activity plans, budgets and presentations when required.
Collect field-level success stories, case studies, photographs and relevant information for documentation and reporting.
Assist management in reviewing program performance and implementing corrective measures where necessary.
Perform any other duties and responsibilities assigned by the management from time to time.
