Job Responsibilities:
∎ Administrative Activities
∎ Be responsible for day-to-day project correspondence, information sharing, updating stakeholder’s contact list and filing, ensuring that appropriate follow-up actions are taken
∎ Liaise with project counterparts on day-to-day implementation of project activities
∎ Support event management for the project in coordination with project management team and UNHCR
∎ Assist the SuLMER Coordinator in organizing visits and key donor contract deliverable preparation
∎ Do interpretation and translation work if required,
∎ Assist project management team in conducting regular/monthly and need based meetings
∎ Keeping record of meeting minutes and prepare for dissemination,
∎ Attend training/orientation as and when asked by the organization/ project management,
∎ Perform any other task as and when assigned by the organization/ project management
∎ Reporting Activities
∎ Clear understanding of project reporting protocol and reporting formats
∎ Prepare and submit reports regularly on project interventions in close coordination with the SuLMER Coordinator and the GIS/IM Officer in line with action plan; update project files
∎ Collect and analyzes data, prepare and update briefs, records and other documents on project implementation. Provide inputs for publication materials and collect information related to the Project
∎ Ensure that the communication outputs are of a high standard and respond to the needs of the target audience (delivered within agreed budget and timeline)
∎ Manage the monitoring of media
∎ Promote knowledge sharing and strengthen links between knowledge sharing and the information systems in close collaboration with the GIS/IM Officer.
Additional Requirements:
∎ Age 32 to 45 years
∎ Both males and females are allowed to apply
∎ Progressively relevant professional working experience preferably on reporting, documentation, communication, event management etc.
∎ Proven organizational skills and ability to manage multiple tasks simultaneously
∎ Strong interpersonal communication skills
∎ Ability to prioritize, organize, monitor and work efficiently on documents and tasks while maintaining quality of work, and deliver outputs within established deadline and timeline
∎ Ability to be discrete and able to keep confidential information
∎ Excellent verbal and written communication, presentation and reporting skills in English and effective interpersonal and negotiation skills
∎ Good planning and report writing skills, case study development, memo & meeting minutes writing skills are required
∎ Ability on quality photography
∎ Computer literate with high proficiency in MS word, excel, and power point.
∎ Demonstrated knowledge and competence in administrative and clerical work is required
