Job Purpose:
The Admin Officer is responsible for ensuring efficient administrative and operational support to the project. The position oversees office administration, asset and inventory management, fleet and transport coordination, safe security, facility management, logistics support, documentation, compliance, and administrative services in accordance with GK policies, donor requirements, and applicable regulations. The Admin Officer plays a key role in maintaining a safe, organized, and productive working environment for project staff and stakeholders.
Ensure smooth day-to-day administrative operations of project offices and field locations.
Maintain office filing systems, records, correspondence, and administrative documentation.
Coordinate office maintenance, utilities, security, and time management.
Ensure availability of office supplies, stationery, and operational materials.
Monitor office space utilization and workplace safety standards.
Support organization of meetings, workshops, trainings, and official events/event management.
2. Asset and Inventory Management:
Maintain updated asset registers and inventory records in accordance with GK policies.
Ensure proper asset tagging, tracking, verification, and documentation.
Conduct periodic physical inventory and asset verification exercises.
Coordinate asset transfer, disposal, and handover processes.
Ensure safe storage and proper utilization of project assets and equipment.
3. Fleet and Transport Management:
Coordinate vehicle movements and transportation requirements for project activities.
Monitor vehicle logbooks, fuel consumption, maintenance schedules, and repair records.
Ensure compliance with organizational vehicle management policies.
Coordinate travel arrangements and transportation support for staff and visitors.
Monitor driver performance and ensure road safety compliance.
5. Facility and Security Management:
Oversee office and facility maintenance activities.
Ensure adequate security arrangements at project offices and facilities.
Coordinate repairs, renovations, and infrastructure improvements.
Monitor service providers and maintenance contractors.
Ensure compliance with occupational health and safety standards.
6. Human Resources and Administrative Support:
Support staff orientation and administrative arrangements.
Maintain staff administrative files as required.
Facilitate staff accommodation, travel, and logistical arrangements.
Assist in organizing staff meetings, training sessions, and workshops.
7. Compliance and Documentation:
Ensure administrative compliance with GK policies and donor requirements.
Maintain proper documentation for audits, reviews, and monitoring visits.
Support preparation of administrative reports and operational updates.
Ensure confidentiality and secure management of organizational records.
8. Coordination and Communication:
Liaise with government offices, camp authorities, service providers, vendors, and stakeholders.
Coordinate administrative support for donor visits, assessments, and monitoring missions.
Maintain effective communication with project teams and support departments.
Represent GK in administrative and operational coordination meetings when assigned.
9. Safeguarding, PSEA and Code of Conduct:
Comply with GK Safeguarding, Child Protection, PSEA, and Code of Conduct policies.
Promote a safe and respectful working environment.
Report any safeguarding concerns through established reporting mechanisms.
Ensure confidentiality and ethical conduct in all administrative functions.
10. Other Duties:
Perform any other administrative and operational responsibilities assigned by the supervisor.
Provide emergency administrative support during humanitarian responses and project scale-up activities.
