Responsibilities & Context:

Job Context :

The Assistant Project Coordinator will support the Project Coordinator in ensuring the smooth implementation of WGSS and SASA! Together activities through proper planning, field-level coordination, monitoring and follow-up. The position will support staff development, team management, coordination with relevant stakeholders, documentation and reporting, while ensuring quality implementation of project activities in line with the approved work plan and project requirements.

Job responsibilities:

Program planning and implementation :

Support the Project Coordinator in preparing monthly and quarterly implementation plans based on the approved work plan.
• Coordinate and follow up with field teams to ensure timely implementation of WGSS and SASA! Together activities.
• Monitor field-level progress and identify implementation gaps for timely action.
• Support emergency preparedness and response activities, including staff and volunteer preparedness for monsoon and cyclone seasons.
• Support representation and participation in relevant field-level GBV, protection and coordination meetings as assigned.
• Support staff in developing work plans and activity schedules.
• Follow up on GBVSS-related requirements and ensure timely submission of information from the field.

Program quality and technical support:

Support the Project Coordinator in ensuring quality implementation of WGSS and SASA! Together activities.
• Provide regular technical and operational support to field staff and volunteers.
• Collect field-level lessons learned, challenges and good practices and share them with the Project Coordinator.
• Support the development and use of IEC and other program materials as required.
• Ensure that activities are implemented in a participatory, inclusive and survivor-centered manner.

Staff development and management:

Support regular coaching, mentoring and on-the-job support to field staff and volunteers.
• Identify staff capacity-building needs and communicate them to the Project Coordinator.
• Support staff orientations, refresher sessions and other capacity-building activities.
• Provide regular feedback to staff and support performance improvement.
• Promote a positive, respectful and inclusive working environment.

Monitoring and follow-up

Support monitoring of project activities against approved plans and targets.
• Conduct regular field visits to observe activities and provide feedback.
• Review activity progress and follow up on gaps identified through monitoring.
• Support the Project Coordinator in taking corrective actions based on monitoring findings.
• Ensure field-level data and documentation are complete and submitted on time.

Coordination and liaison :

• Support coordination with GBV, protection and other relevant sectors at field level.
• Maintain regular communication with WGSS, SASA! Together teams, volunteers and relevant service providers.
• Support coordination with other partners to facilitate complementary services and referrals.
• Strengthen linkages between WGSS, SASA! Together and relevant service providers at camp and community levels.
• Support referral and engagement of relevant service providers as required.

Financial and administrative support :

• Support the Project Coordinator in ensuring activities are implemented within approved budgets and plans.
• Coordinate with Finance/Admin colleagues regarding activity-related administrative and financial requirements.
• Ensure compliance with Mukti Cox’s Bazar administrative rules and procedures.
• Support timely preparation and submission of activity-related documents.

Documentation and reporting:

• Support preparation of timely and quality programmatic reports.
• Compile field-level activity updates, achievements, challenges and lessons learned.
• Support quality GBVIMS/GBV-related reporting as assigned.
• Maintain systematic records of project activities, meetings, trainings, events and photographs.
• Ensure project information and documents are properly archived and readily available when required.

Safety and security :

Monitor the safety and security situation of field teams during project activities.
• Promptly report safety and security concerns or incidents to the Project Coordinator and Mukti management.
• Support staff and volunteers in following relevant safety and security procedures.

Safeguarding & PSEA :

  • Support the achievement of the organization’s safeguarding and PSEA objectives, helping to ensure team members are protected from harm, abuse, neglect, harassment, and exploitation.

  • Promote and model safeguarding standards across all areas of work, and support team members to practice, advocate for, and uphold the organization’s safeguarding policy.

  • To meet the program's objectives for safeguarding and PSEA implementation, make sure team members are protected from any harm, abuse, neglect, harassment, and exploitation. Serve as a major resource for help, direction, and knowledge on safeguarding & Child protection for developing a safe workplace. To ensure that safeguarding standards are used in every course of action, team members should practice, advocate, and embrace safeguarding policy concerns.
