Job Responsibilities:
∎ Participate in the preparation of the Office plans.
∎ Participate in the committees formed by the office for coordinating the office work like, purchase committee ,employment committee, and the like Coordinate employment process and follow up the staff and employees affair's (Contract, Attendance , salaries ,job injuries ,leaves and the likes.
∎ Prepare and revise the training plan for the staff and employees and its follow up.
∎ Communication with the stakeholders concerning the staff and employees affairs.
∎ Coordinate the purchases process and update the vendors/ contractors lists.
∎ Follow up the contract and the legal affairs of the office.
∎ Supervise the preparing and updating the It systems and program s in use in the office.
∎ To preserve and protect the office assets and follow up it use and ensure the safety and security requirements in the office and during the different works being undertaking by the office.
∎ Conducts frequent field supervision of the overall non-food and food management.
∎ Closely monitors commodity end use, warehouse management and relief supplies handling.
∎ Ensures that relief supplies management systems are properly functioning as per the program's goal and objectives.
∎ Formulates and coordinates all relief supplies control measures, supplies tracking systems, accounting systems and generally accepted commodity accounting principles to ensure compliance at all levels.
∎ Identify requirements and establish and maintain all logistical infrastructures for administration and operations.
∎ Under the supervision of the CD, identify and analyse procurement and transport requirements including those of partner agencies as appropriate.
∎ Under the supervision of the CD support the movement of all goods and equipment in coordination with the Procurement Officer and the logistics staff to ensure efficient and timely delivery of relief commodities.
∎ To update vehicle management system regularly.
∎ To Check vehicles, log sheet on daily basis and complete check-up once in a month i.e. engine, tyres, battery, Ac, heater, break etc. condition.
∎ To ensure rental vehicles drivers' orientation once in a month.
∎ To perform certain duties designated by the management if and when need arises.
∎ Perform any other task assigned by Supervisor and/or Management.
∎ Participate in the preparation of the Office plans.
∎ Oversee the logistics management of emergency and regular food/noon food commodities from the time of arrival until its receipt at the final distribution center through air or by road.
∎ In consultation with Country Office establishes and/or improves logistics control systems in line with donor regulations; Recommends for improvement of generic forms for utilization at receipt, dispatch, and disbursement of commodities/supplies.
∎ Trains logistics staff on commodity and supplies management related issues; Provides backstop support to Field offices to ensure that the projects prepare detailed supplies and food distribution plans, periodical supplies and food accomplishment reports and timely submission.
Additional Requirements:
∎ Age 28 to 35 years
∎ At least 05 years of experience in a Relevant Field.
∎ Ability to work under pressure, Priority workload and multitask.
∎ Excellent Interpersonal Communication skills.
∎ Strong written and oral communication skills in English.
∎ Must know computer basic Knowledge.
∎ Knowledge of Arabic language is additional advantage.
∎ Area of Expertise: Administrative affairs.
