Key Responsibilities
1. Store and Inventory Management
Receive materials, supplies and equipment against approved purchase orders, delivery challans and other authorised documents; check quantities, specifications and condition and report shortages, damage or discrepancies promptly.
Arrange stock systematically with clear labels, item codes and designated locations; maintain suitable storage conditions and secure access to prevent damage, deterioration, loss or misuse.
Issue and accept returned materials only against authorised documents; record receipts, issues, transfers, returns and balances promptly in stock registers, bin cards or approved electronic records.
Apply first-in, first-out (FIFO), or first-expiry, first-out (FEFO) for items with expiry dates; monitor batch numbers, expiry dates and storage requirements where applicable.
Monitor minimum, maximum and reorder levels agreed with the supervisor; provide replenishment requirements early to minimise avoidable stockouts and excess stock.
Conduct scheduled physical stock counts, reconcile balances with records and report differences for investigation. Make adjustments only with the required approval and supporting documentation.
Identify and record slow-moving, excess, damaged, expired, obsolete or missing items; segregate unsuitable items and support approved return, transfer or disposal procedures.
Maintain asset receipt and movement records, assist with tagging and verification where assigned, and keep complete handover records when custody changes.
Maintain cleanliness, safe stacking, clear access routes, fire precautions and key control; report unsafe conditions and arrange assistance for handling heavy items.
2. Support to Mirpur Rehabilitation and Patient Services
Coordinate with PT, OT, SLT and P&O In-Charges to plan and issue approved therapy consumables, activity materials and workshop supplies within the store’s assigned scope; obtain the relevant staff’s confirmation of technical specifications.
Coordinate approved supplies for inpatient cabins and nursing areas, such as linen, toiletries and housekeeping materials where assigned; maintain issue, return and replacement records with the responsible unit.
Provide assigned supply support to doctors, pathology, radiology, Front Desk and other service areas. Refer clinical suitability, equipment calibration and specialised handling decisions to the responsible professionals.
Prioritise urgent, approved requests affecting patient care in consultation with the supervisor; inform unit In-Charges promptly when supplies are unavailable and escalate replenishment needs.
3. Procurement and Documentation Support
Provide department-wise stock balances, consumption patterns and replenishment requirements to the Senior Store Officer to support Mirpur’s purchasing, annual budgeting and service expansion planning.
Assist with quotation collection, comparison statements, purchase documentation and supplier follow-up as assigned, in accordance with CRP’s policy and procedures.
Coordinate local deliveries and authorised transfers between CRP Mirpur, Head Office and other CRP centres as assigned; maintain delivery challans, receiving acknowledgements and complete transfer records.
Support internal and external audits, stock verification and inspections by providing accurate records and explaining recorded transactions.
4. Administrative Assistant Responsibilities
Assist the Administration Department with routine correspondence, typing, data entry, filing, photocopying, scanning and maintaining registers and records.
Help prepare Mirpur’s administrative requisitions, correspondence, meeting papers, action lists and routine reports; maintain organised records and follow up tasks assigned by the Senior Store Officer.
Maintain assigned logs of repair and service requests for furniture, fixtures and nonclinical equipment; coordinate follow-up with Maintenance or IT and inform Administration about unresolved issues affecting service delivery.
Provide assigned staff-cover support during absences or peak demand following a documented handover and priorities set by the supervisor.
5. Canteen, Pharmacy and Aware shop Support
Assist the Canteen, Pharmacy and Aware shop management and day to day sell and coordination as required and assigned by the Supervisor.
6. Accountability and CRP Values
Treat persons with disabilities, patients, caregivers, visitors and colleagues with dignity, empathy and respect; support accessibility and nondiscriminatory service.
Protect confidential organisational, supplier, staff and patient information and follow CRP policies on conduct, safeguarding, safety and record handling.
Maintain transparent records and the required separation between procurement approval, receipt verification, payment and stock adjustment. Never approve own transactions; disclose conflicts of interest and report suspected misuse through the appropriate channel.
Perform other reasonable store, procurement and administrative duties assigned by management, consistent with the role, competence and CRP procedures. Agree priorities when support requests compete with essential store responsibilities.
