Job Responsibilities:
∎ Requirement analysis and provisioning for IT equipment’s (Asset, Accessories and Consumables) as per required frequency & accommodate ad-hoc requirement to ensure stock without any business impact.
∎ Prepare budget proposals and operational expenditure statements. Arrange to initiate PR for requirement and ensure tracking.
∎ Facilitate purchase and deployment tasks of IT Assets, consumables & accessories ensuring proper & on time availability as per business requirement.
∎ Review and process the bill & documentation (Approvals, GRs etc.) from vendors as per Scope of Work based on terms and condition of Purchase Order (PO)/Annual Maintenance Contract (AMC) etc.
∎ Track and report expenses too along with proper coordination and escalation.
∎ Inventory Management & Asset Operations
∎ Manage and execute as required for end to end lifecycle management of IT Assets from BoQ-PR-Technical Evaluation-Commercial Evaluation-PO-Product receive-GR-disposal etc.
∎ Partner with Asset Owners to ensure Asset information is kept accurate and up to date throughout the lifecycle. Investigate and resolve exceptions and accuracy issues of the asset repository.
∎ Perform inventories (Hardware and software) and usage monitoring of all IT assets and record all findings, changes, physical location, and incidences of support.
∎ Enter all software and hardware serial numbers or identification tags into inventory software and ensure information is up-to-date, accurate, and auditable.
∎ Maintain and manage all types of Approval Forms required for asset and access issues (Technology Forms)
∎ Deliver IT Equipment to IT Support people for end user delivery based on approval
∎ Manage and monitor regular asset Transactions between warehouses, IT Support and end users.
∎ Verify the received equipment from vendors as per Scope of work(SOW) and Purchase Order;
∎ Arrange barcode/asset tagging for IT fixed asset items; Update IT inventory/tracking software.
∎ Lead physical verification activities to match physical VS virtual stock. Involved in managing discrepancy, leading IT Asset related Trainings while tracking Asset through Asset Management Software/Excel.
∎ Prepare and store documentation, Audit log for all received, delivered IT fixed assets, accessories, consumables as well as all sort of transaction of those for audit reference.
∎ Deliver on time Audit related requirements and manage artifacts (facts and figure) to face and comply Audit
∎ Regular asset reporting as per defined frequency to show visibility of asset stocks, live assets, critical issues, faults, disposals, discrepancies and audit compliance issues. Conduct internal asset audit to identify discrepancy.
∎ Ensure adherence to company defined process and policies while maintaining regular operations
∎ Ensure proper awareness among end users to follow the technology process and policies
∎ Inform any breach of technology process and policy compliance to right authority
∎ Initiate and coordinate disposal process accordingly with necessary approval signatory for damaged, faulty, lost, CSR, awarded, unusable asset. Help in auction of disposed assets.
∎ Control decommissioning of asset and tracking of spares decommissioned from asset.
∎ Verify and review disposed/decommissioned list against of obsolete/damaged/lost/CSR/Awarded etc.
∎ Maintain standard BoQ/Technical specifications for all IT Equipment (both CAPEX & OPEX item) that is best fitted for business to maintain user satisfaction. Research industry best practices and compare against the organization’s practices in order to establish benchmarks for managing IT assets.
∎ Explore opportunities for maximizing or exploiting unused or partially used IT assets to achieve full efficiency and ROI from company resources. Explore & implement ideas to optimize CAPEX & OPEX too.
∎ Analyze performance of purchased assets, identify problem areas & deliver solutions to enhance quality of service and to prevent future problems.
∎ Designs, oversees and maintains IT Asset Lifecycle Management policies and procedures
∎ Develop Service Level Agreements (SLAs) to establish problem resolution expectations and timeframes and on time renewal.
∎ Monitor vendor performance to ensure SLAs are met by the vendors; Plan and modify of service contracts with vendors & Manage vendors to execute and maintain scheduled maintenance for IT accessories & assets, Quality Maintenance System etc.
∎ Managing AMC of IT equipment’s servicing & delivery. Escalation and co-ordination with SCM, DPM for any issues.
∎ Responsible for the daily and long-term management of end user software within the organization. This includes planning, monitoring, and recording software licenses
∎ Track and maintain copies of software licenses, warranties and service agreements
∎ Optimize software licenses verifying and accommodating temporary & permanent requirement with business justifications

Additional Requirements:
∎ ? Certifications in ITIL preferable
