We are seeking a highly competent, smart, and trustworthy Personal Assistant (PA) to the Chairman who will act as a key support system in managing executive-level responsibilities. This role requires strong administrative capability, confidentiality, decision-making support, and the ability to handle high-pressure tasks with professionalism.
The selected candidate will work directly with the Chairman and will be responsible for ensuring smooth coordination of personal, corporate, and strategic activities, maintaining strict confidentiality, and executing tasks with precision and efficiency.
Key Responsibilities:
1. Executive & Administrative Support:
Provide full secretarial and administrative support to the Chairman.
Manage daily schedules and priorities, and ensure smooth execution of all assigned tasks.
Handle sensitive matters with professional judgment and discretion.
2. Scheduling & Appointment Management:
Maintain and manage the Chairman’s daily, weekly, and monthly schedules.
Arrange meetings, appointments, and business engagements with proper coordination.
Provide timely reminders and ensure punctuality in all engagements.
3. Communication Management:
Handle all internal and external communications, including phone calls, emails, and messages, on behalf of the Chairman.
Draft, review, and respond to official correspondence professionally.
Act as a communication bridge between the Chairman and internal departments or external stakeholders.
4. Travel & Personal Assistance:
Accompany the Chairman (and family, if required) on local and international trips.
Arrange travel logistics, including tickets, accommodation, schedules, and necessary documentation.
Provide on-trip coordination and support at all times.
5. Documentation & Reporting:
Take meeting notes, prepare minutes of meetings (MoM), and follow up on action points.
Draft reports, letters, and official documents as instructed.
Maintain a well-organized filing system (physical & digital).
6. Coordination & Task Management:
Coordinate with different departments and business concerns for task execution.
Monitor ongoing tasks/projects and ensure timely completion.
Assist in business operations, special assignments, and strategic initiatives.
7. Confidentiality & Professional Conduct:
Maintain strict confidentiality regarding company information, the Chairman’s personal matters, and business data.
Demonstrate a high level of integrity, discipline, and corporate professionalism at all times.
8. Flexibility & Field Responsibilities:
Be ready for fieldwork, extended hours, and emergency assignments as required.
Adapt to dynamic work environments and handle pressure efficiently.
9. General Work Compliance:
The PA must be fully flexible and responsive to all instructions from the Chairman.
No task shall be refused based on job boundaries; the role requires full cooperation and execution of assigned responsibilities.
