Job Responsibilities:
∎ Assisting the Director in managing all day-to-day affairs of the office;
∎ Responsible for day-to-day secretarial work at the Director's desk and maintaining proper confidentiality;
∎ Responsible for inter-departmental coordination with all units as directed by the Director;
∎ Prepare presentations and reports for the Director as directed from time to time;
∎ Maintain appointment calendars - arrange, coordinate and prioritize complex schedules and logistics;
∎ Provide telephone coverage - answer executive phones, take accurate messages, know where the executive is at all times, handle emergency calls with appropriate judgment;
∎ Arrange internal and external meetings (including selecting dates, times, and locations) (internal meetings usually require extensive coordination);
∎ Attend meetings with Director and take notes of discussions, prepare meeting minutes;
∎ Circulating meeting minutes and following up its progress in liaison with concerned departments/officers;
∎ Compose agendas and correspondence for special events, board meetings, committee meetings, office orders and development activities;
∎ Responsible and coordinate all corporate meetings;
∎ Overseeing the Director's driver, front desk, logistics executive, personal security and daily work schedule;
∎ Fix Director's day-to-day appointments, liaise with government/private/business organizations as directed by Director;
∎ Any other tasks assigned by the Director.
