Job Context:
∎ Contract Duration - 31 December 2020.
∎ Start Date - ASAP
∎ Provide support to Deputy Field Coordinators in liaising with key stakeholders at the camp and cluster level, as well as in administrative management of ACF staff and facilities.
Job Responsibilities:
∎ Provide effective liaison between the DFCs and government authorities (most significantly the CiCs) at the local cluster level.
∎ Maintain communication and good relationships with authorities at Camp level
∎ Represent ACF in different fora at the cluster level, fostering good relationships with diverse stakeholders, including with government departments, media & press, other INGOs etc.
∎ Provide stakeholders with regular updates on ACFs projects and programmes
∎ Ensure that issues raised at by stakeholders are addressed appropriately and reported to the DFCs
∎ Foster excellent working relations with the CiCs in each camp
∎ Work with programme team members to develop a greater understanding of the board ACF programming
∎ Proactively solve conflicts and address issues that could occur between ACF service
∎ Provide administrative & operational leadership for allocated area of ACF programme implementation (cluster)
∎ Represent the DFC in at the cluster level, taking on administrative and representative responsibility for a cluster, as well as support and backup for other clusters
∎ Ensure facilities at in allocated cluster are maintained to ACF standards
∎ Liaison with HR and Logistics staff to ensure that facilities are in good working condition, adequately staffed & protected
∎ Carry out monthly facilities check, using standardized checklists, sending results to the DFCs
∎ Maintain staff working in the cluster informed of rights, responsibilities and management updates (including maintaining cluster notice board)
∎ Promote a proactive working environment and trouble shoot staffing conflicts and tensions and/or other wellbeing issues
∎ Hold monthly cluster meetings with staff (which may also be attended by DFC)
∎ Liaison with logistics department and/or DFCs to ensure repairs are completed in a timely manner
∎ Provide all other cluster related administrative support as and when requested by the DFC (staff election, surveys, document collection, welcoming visitors etc.).
∎ Support community participative approaches to programme design and management
∎ Ensure all volunteers working within their cluster have received the necessary training, signed Codes of Conduct and conduct themselves appropriately
∎ If necessary issue volunteer cards and maintain volunteer database
∎ Safeguard against any abuse or maltreatment of volunteers and/or beneficiaries by ACF staff
∎ Coordinate with long term volunteers to better understand the needs, opinions and ideas of the beneficiary communities which may include allowing them to 'shadow' some of this positions activities
∎ Organize volunteer and / or community consultation processes, as and when requested by the DFCs
∎ Support Base Security Management unit on ground level Security management.
∎ Update regular security situation and information of camp to Base Security manager and DFCs.
∎ Update any watchman management issue directly with base Security manager.
∎ Facilitate and when necessary lead security meeting in the field and take action from the decisions taken in the meeting.
∎ Update and communicate all relevant staffs in the camps any issue related to security management.
∎ Organize fire drills in line with the SOPs and as directed by either the security manager or DFC
Additional Requirements:
∎ 5 years working for NGOs or a similar social organisation / enterprise.
∎ Good relations with internal and external staffs
∎ Hardworking, Patience.
∎ Ability to work in a team
∎ Diplomacy with Government & others stakeholder's
∎ Advanced level of Bangla - Intermediate level of English
Salary: Tk. 71000 (Monthly)
Compensation & Other Benefits:
∎ Festival Bonus: 1 month Gross salary every year;
∎ Provident Fund: 7.5% of Basic Salary;
∎ Performance Bonus: from 30 % to 80% of monthly Gross salary per year depending on performance;
