Experience:
Bachelor’s degree in Education, Management, or related field. Education may be flexible for candidates with strong experience in training center management, administration, or field-level coordination.
The Center Incharge will be responsible for managing the day-to-day operation of the assigned Vocational and Life Skills Training Center (VLTC). The role will ensure proper training arrangements, implementation of training schedules, participant attendance, trainer coordination, logistics support, MIS data entry, documentation, cleanliness, discipline, safety, inclusion, quality compliance, and timely reporting to management.
Key Responsibilities
VLTC Operations and Center Management
• Oversee day-to-day operations of the Vocational and Life Skills Training Center (VLTC).
• Manage the daily operations of the assigned training center according to project guidelines and organizational standards.
• Ensure that the training center is open, clean, organized, safe, and ready before each training session.
• Maintain proper seating arrangements, training materials, equipment, stationery, attendance sheets, and other required logistics.
• Ensure training schedules are implemented as planned and required resources are available on time.
• Monitor the overall training environment and ensure discipline, punctuality, and professionalism at the center.
• Ensure proper use, care, and maintenance of training center assets, furniture, tools, equipment, and learning materials.
Training Coordination and Supervision
• Coordinate with TVET Trainers, SEB Trainers, EDT Trainers, Community Mobilizers, Upazila Manager, Cluster Coordinator, and other project staff for smooth training implementation.
• Supervise trainers and support staff to ensure smooth functioning of the center and timely delivery of planned activities.
• Support trainers in session preparation, participant management, attendance collection, training material distribution, and practical activity arrangements.
• Ensure timely communication with participants regarding training schedules, session timing, attendance, assessments, and follow-up activities.
• Support the organization of assessments, demonstrations, practical sessions, counseling sessions, and certificate-related activities when required.
• Monitor training sessions and report any irregularity, absenteeism, logistical challenge, or quality-related issue to the supervisor.
Participant Management and Attendance Tracking
• Maintain regular communication with participants and support them throughout the training cycle.
• Monitor attendance and ensure accurate data entry into MIS and other approved project tracking systems.
• Track participant attendance, dropout risks, punctuality, participation, and training completion status.
• Follow up with absent or irregular participants and coordinate with Community Mobilizers and field teams to reduce dropout.
• Support inclusive participation of youth, women, marginalized groups, and other project beneficiaries.
• Receive participant feedback, concerns, or grievances and report them to the appropriate supervisor for necessary action.
Safety, Inclusion and Quality Compliance
• Maintain compliance with safety, inclusion, and quality standards at the VLTC.
• Ensure that the training center follows organizational rules, project guidelines, safeguarding standards, and safety requirements.
• Promote respectful behavior, gender sensitivity, inclusion, and discipline among participants and staff at the center.
• Ensure safe storage and responsible use of equipment, tools, documents, and materials.
• Maintain confidentiality of participant information, assessment records, and official documents.
• Support audit, monitoring visits, donor visits, and management visits by keeping the center and documents properly prepared.
Documentation, MIS and Record Keeping
• Maintain accurate records of participant attendance, trainer attendance, training schedules, session reports, assessment records, feedback forms, photographs, equipment records, and center-level files.
• Ensure accurate and timely data entry into MIS, spreadsheets, dashboards, or mobile data collection tools as required by the project.
• Prepare and submit daily, weekly, and monthly center updates as required.
• Maintain soft and hard copies of all training-related documents in an organized and audit-ready manner.
• Collect and preserve evidence of training activities, including photographs, attendance sheets, session materials, participant feedback, and assessment documents.
• Support data entry, participant tracking, training database updates, and MIS reporting when required.
Logistics and Administrative Support
• Ensure availability of required training materials, stationery, equipment, tools, refreshments, and other logistical items before training sessions.
• Coordinate with admin, finance, procurement, and project teams for center-level operational needs.
• Maintain inventory of training center assets, materials, equipment, and supplies.
• Support arrangements for meetings, awareness sessions, job readiness sessions, entrepreneurship mentoring, employer visits, and community engagement activities at the center.
• Address operational issues promptly and report to management when support or decision is required.
• Report repair, maintenance, safety, or utility issues to the supervisor immediately.
Coordination and Reporting
• Coordinate regularly with the Upazila Manager, Cluster Coordinator, Trainers, Community Mobilizers, Job Placement Officer, Enterprise Development Officer, and other field staff.
• Provide timely updates on training progress, participant attendance, logistical needs, center challenges, operational issues, and follow-up actions.
• Prepare center-level reports on training activities, participant status, documentation, MIS updates, operational issues, and recommendations.
• Represent The Earth Society professionally at the center level and during visits by stakeholders, partners, donors, or management.
• Perform any other relevant tasks assigned by the supervisor or management.
