Context
The HR & Admin Assistant provides operational and administrative support to the project team. The role ensures efficient human resource management, compliance with organizational and donor requirements, and effective administrative systems. By maintaining transparent HR processes and reliable administrative support, the position contributes to the overall success of education interventions in Cox’s Bazar.
Job Responsibilities
Human Resources
Support recruitment processes (posting vacancies, scheduling interviews, preparing documentation).
Maintain staff records, contracts, and personnel files in line with organizational policies.
Assist with onboarding and orientation of new staff.
Track staff attendance, leave, and timesheets.
Support payroll preparation by providing accurate HR data.
Ensure compliance with labor laws, organizational HR policies, and donor requirements.
Maintain all the Host and Rohingya Volunteer personal files and updated in timely manner.
To take the lead in Camp level Volunteer recruitment on regular basis.
Training and Development:
Identify training needs and coordinate professional development opportunities for staff.
Conduct regular training sessions for staff on HR policies, procedures and code of conduct.
Maintain records of staff training and development activities.
Performance Management:
Support the implementation of performance appraisal systems and processes.
Assist in the identification of training and development needs based on performance evaluations.
Work with H/O HR Department to address performance issues and develop improvement plans.
Compliance and Documentation:
Implement and oversee HR policies and procedures, ensuring compliance with organization’s & donor policies, national & international labor laws.
Administration
Manage office supplies, equipment, and inventory to ensure smooth daily operations.
Organize meetings, workshops, and training sessions, including logistics and documentation.
Maintain filing systems (digital and physical) for administrative and project records.
Assist in preparing administrative reports and correspondence.
Coordination & Compliance
Liaise with program, finance, and logistics teams to align HR and administrative processes with project needs.
Ensure adherence to organizational policies, donor guidelines, and humanitarian standards.
Provide support during audits, monitoring visits, and compliance reviews.
Capacity & Support
Contribute to building staff awareness of HR policies and procedures.
Provide administrative support to project managers and field teams.
Assist in fostering a positive, inclusive, and accountable workplace culture.
Other duties:
Liaise with external partners, government agencies and other stakeholders on HR and administrative matters.
Facilitate the exchange of information and collaboration between the organization and external entities.
Any other duties as per project and organization requirement.

To ensure that safeguarding standards are used in every course of action, team members should practice, advocate, and embrace safeguarding policy concerns.
