Responsibilities & Context:
∎ Communication Material Development: Assist in creating communication materials such as speeches, presentations, and meeting minutes for the Director and operation team, as and when required.
∎ Coordinate national and international travel arrangements for the Director, including managing travel documents.
∎ Document events organized under UPGP and distribute notes and minutes to relevant stakeholders promptly. Assist in organizing public events, meetings, workshops, and seminars to support various units of the UPG Programme.
∎ Provide high-quality support for change management and operational transformation initiatives.
∎ Ensure compliance of financial documents before submission to the Director for approval.
∎ Act as the primary point of contact between the Director, stakeholders, and colleagues.
∎ Coordinate with teams to ensure the effective implementation of new projects and services for the programme operation team.
∎ Provide assistance/support to the operational team in information analysis and materials development and communication with different stakeholders (internal & external).
∎ Ensure the safety of Programme Participants, people who come into contact with the organization and team members from any harm, abuse, neglect, harassment and exploitation including sexual exploitation and abuse (SEA) to achieve the programme's goals of safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.
∎ Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.
∎ Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so.
