The BRAC Pooled Fund initiative, funded by the UK Foreign, Commonwealth & Development Office (FCDO), is implementing the 8.5-month SHIFT (Sustainable WASH and Humanitarian Innovation for Local Transformation) Consortium project to serve Rohingya refugees and vulnerable host communities in Cox's Bazar. The project aims to improve access to safe, inclusive, and sustainable Water, Sanitation and Hygiene (WASH) services for these communities. It also strengthens the capacity of local partners to deliver quality, accountable, and sustainable humanitarian services. Led by BRAC in partnership with national and women-led organisations, the consortium promotes locally led humanitarian action through strengthened institutional capacity, leadership, and community engagement.

The Deputy Manager, Administration & Partnership Support will oversee administrative systems, logistics, records management, and documentation to ensure the Secretariat operates efficiently. The position will also support Foreign Donations (FD) processes, coordinating with partners, government agencies, and internal teams to ensure timely submission, compliance, approvals, and documentation. In addition, the Deputy Manager will contribute to the planning, coordination, and implementation of organisational capacity development initiatives, meetings, workshops, and other consortium activities to strengthen partner capacity and collaboration.

KEY RESPONSIBILITIES: 

  • Support the planning, budgeting, and implementation of the SHIFT Consortium's annual capacity development and partnership support activities.

  • Coordinate administrative and logistical arrangements — including vehicle deployment, travel, accommodation, and venue bookings — for trainings, workshops, meetings, and consortium activities.

  • Organise capacity development initiatives, donor visits, strategic consultations, and stakeholder engagement events by coordinating with consortium partners.

  • Facilitate Foreign Donations (FD) submissions by coordinating with consortium partners, government authorities, and internal teams to ensure timely approvals, compliance, and documentation.

  • Support partnership management by maintaining regular communication and coordination with consortium partners, government authorities, and other key stakeholders.

  • Coordinate logistics and communication for monitoring visits, assessments, and field missions to ensure smooth implementation.

  • Prepare administrative and financial documentation by assisting with expenditure reports, budget revisions, and correspondence.

  • Maintain well-organised project files and administrative records, ensuring compliance with BRAC policies, donor requirements, safeguarding standards, and administrative procedures.

SAFEGUARDING RESPONSIBILITIES:

  • Ensure the safety of Programme Participants, people who come into contact with the organization and team members from any harm, abuse, neglect, harassment and exploitation, including sexual exploitation and abuse (SEA), to achieve the programme`s goals of safeguarding implementation. Act as a key source of support, guidance, and expertise on safeguarding for establishing a safe working environment.

  • Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action

  • Follow the safeguarding reporting procedure in case any reportable incident takes place, and encourage others to do so.
