  • Minimum 4-6 years of relevant work experience in payroll management, compensation & benefits or HR/Finance operations, preferably within an NGO, development organisation or large corporate setup.

  • Demonstrated hands-on experience in payroll processing, PF/Gratuity administration, staff loan management and insurance benefits coordination.

  • Prior experience reconciling payroll data with Finance & Accounts is strongly preferred.

  • Strong working knowledge of Bangladesh Labour Law 2006 (and amendments), income tax rules on salary income and Provident Fund/Gratuity Trust regulations.

  • Proficiency in payroll/HRIS software and advanced MS Excel (VLOOKUP, pivot tables, reconciliation templates); experience with ERP systems is an advantage.

  • High numerical accuracy, attention to detail, and strong analytical and reconciliation skills. Excellent organisational and time-management skills with the ability to meet strict monthly payroll deadlines.

  • Strong integrity, confidentiality, and professional ethics in handling sensitive salary and financial data.

  • Good interpersonal and communication skills to liaise effectively with staff, HR, F&A and external parties (banks, insurers, PF Trust).

The Assistant Coordinator/ Coordinator is responsible for the accurate, timely and compliant processing of staff salaries and all salary-related payments, including bonuses and allowances across SAJIDA Foundation and Enterprises. The role manages staff loan administration, Provident Fund (PF), Gratuity and Group/Staff Insurance benefits and serves as the primary point of coordination between HR and the Finance & Accounts (F&A) department for all payment-related reporting and reconciliation. The position requires strong command of payroll systems, statutory compliance and meticulous financial record-keeping to safeguard the accuracy and integrity of staff compensation and benefits data.

Key Responsibilities

  • Process monthly payroll for all SAJIDA Foundation staff, ensuring accurate calculation of basic salary, allowances, overtime and statutory deductions before each payroll cycle deadline.

  • Calculate and disburse festival bonuses, performance bonuses and all other ad-hoc allowances (travel, mobile, hardship, project-based) in accordance with HR policy.

  • Administer the staff loan/advance cycle end-to-end application review, eligibility check, disbursement and monthly installment deduction through payroll while maintaining individual loan ledgers.

  • Process monthly Provident Fund contributions (employee and employer share), maintain individual PF member ledgers, and handle PF withdrawal/final settlement for separating staff.

  • Calculate and process Gratuity payments for separating, retiring, or deceased employees based on service records, in line with the Bangladesh Labour Law and Foundation policy.

  • Administer Staff/Group Insurance benefits, including enrolment and removal of staff and dependents, premium deduction, and coordination with insurers on claims.

  • Prepare monthly payroll, loan, PF, gratuity, and insurance reports and reconcile all related liability accounts with the Finance & Accounts (F&A) department, resolving discrepancies promptly.

  • Ensure correct calculation and timely deposit of income tax (TDS) on salaries and issue salary and tax certificates to staff as required.

  • Maintain audit-ready documentation for all payroll and benefits transactions and support internal, external and PF/Gratuity Trust audits with accurate data and schedules.

  • Ensure ongoing compliance with Bangladesh Labour Law 2006, PF/Gratuity Trust regulations and internal financial policy, updating processes as regulations change.
