Educational Requirements:
∎ Masters in commerce discipline with 2 years experience in relevant field or Masters in any discipline with 2 years relevant job experience will be Considered.

Experience Requirements:
∎ At least 2 year(s)

Job Responsibilities:
∎ Provide logistic support in organizing program meetings, workshops, seminars, training and or campaign as necessary.
∎ Receiving & checking Bills with appropriate supporting documents incompliant with SKS Foundation policy procedure and initiate to payment
∎ Provide support to internal and external consultants, Researchers, Donors and other visitors with information, documents and make necessary coordination
∎ Assist in organizing and providing administrative support in workshops/meetings/training at internal or external venues
∎ Visit to union offices to ensure SC policies are followed accordingly, provide on-spot technical assistance (if needed).
∎ Keeping close contact with project team delivering appropriate papers & documents in maintaining volunteers agreement, attendance, master roll, registers etc.
∎ Maintain a Form Desk keeping all updated forms/documents like Attendance Sheet, Log sheet. Honorarium sheet, Leave form etc.
∎ Arrange to payment Telephone bill, Electricity, Gas and Newspaper bill
∎ Keeping close coordination with finance section about monthly payment status of utility bills and collect the bill if require
∎ Maintain the record of motorcycles, motorcycle documents, uses, and ensure timely servicing and updating of documents
∎ Ensure office cleanliness, equipment and office repairing and maintenance with the appropriate vendors maintaining SKS & donor procedures
∎ Ensure furniture and equipment are in good condition (e.g. motorcycles, photocopy machine, computer, printer, IPS, generator, multimedia, Tab, cameras etc.)
∎ Ensure timely electric repair/maintenance in the Field Office and verify the utility bills before forwarding to accounts for payment
∎ Maintain and keep update the lease agreement/ contract/ agreement etc. documents at the project Office
∎ Ensure monthly requirement of office stationeries and cleaning materials
∎ Ensure Motorcycles Agreement of staff and legal documents of users. Maintain all utilities payment files updated with copy of paid bills
∎ Set up an effective mail management (Office mail, Courier service etc.)
∎ Supervision of supports staffs and prepare duty roster of support staff. Arrange casual office helper as per requirement.
∎ Prepare quarterly & Annual procurement plan
∎ Establish a vendor pool with Register having appropriate all vendors' legal documents as per SKS procedures & donor guidelines
∎ Do the project office procurement as per SKS policies maintaining donor compliances
∎ Prepare & arrange to call for quotation according to submitted PRs
∎ Arrange Procurement Committee meeting for decision. Provide overall secretarial support in documentation of Procurement Committee meeting decisions.
∎ Maintain and updated record with detailed stock register
∎ Stick security measures are in place for locking the stores
∎ Affix ID number on all FF&E items.
∎ Updating FF&E register in regular basis
∎ Find out unused and idle FF&E items.
∎ Ensure receiving all incoming and outgoing FF&E items and stationery items with proper documents.
∎ Ensure that Stationary & Office supplies are being maintained in organized way .
∎ Procurement related documents like Tender documents, RF, Quotations, CS, PO/WO, Contract Agreement etc. are keep in place in an organize manner
∎ Ensure proper record keeping on all procurement related documents
∎ Relevant documents preservation
∎ Maintain staffs leave records are maintained properly and end of year annual leave information is conveyed to the HR and Finance Section
∎ Maintain volunteers' files & records as per guidelines
∎ Promote gender sensitivity and child safeguarding working environment team spirit among the support staff
∎ Ensure appropriate filing and stamping of documents as appropriate
∎ Will discharge such other functions as may be assigned from time to time
∎ Any other business/tasks assign by the supervisor

Additional Requirements:
∎ Age at least 18 years
∎ Both males and females are allowed to apply
∎ Good communication skills
∎ Computer skills (word processing, spreadsheet) are essential.
∎ Skills in store maintenance.
∎ Able to maintain petty cash/banking
∎ Able to deal with routine reports
∎ Skills in providing logistic support (Ticketing, meeting, workshop, mailing)
∎ Knowledge on finance, administrative and procurement policies.
∎ Ability to work in a team environment

Salary: Tk. 28941 (Monthly)
