Educational Requirements:
∎ BBA/ MBA/ Masters in any discipline.
Experience Requirements:
∎ 3 to 5 year(s)
Job Responsibilities:
∎ Email drafting and writing on all admin related letters to staff or higher management.
∎ Handle by monitoring support staff handling incoming and outgoing calls through PABX (Local & International) and monitoring and handle Front Desk and Front Office equipment like phone, fax, and computers
∎ Handle Printing and stationery procurement (if any) for the office.
∎ Maintain the stores (if any) record, Manage Petty cash, and write cheque.
∎ Manage the driver's (if any) attendance and duty schedule.
∎ Help HR manager (if any) in all HR related activities.
∎ File Management: keep tabs on location of office files and ensure security of these files.
∎ Prepare admin related Documentation for ISO (if any is required)
∎ Provide staff orientations for new administrative staff.
∎ Office rent and utilities bill payment, manage relationship with landlord.
∎ Update Trade License(s) by paying yearly tax.
∎ Manage the maintenance of office equipment like PCs, Servers, UPSs, IPSs, Printers, and Photocopiers etc.
∎ By monitoring equipment performance and calling in vendors for competitive quotations to obtain best price for repair with most capable vendor
∎ Maintain records of daily attendance (time in and time out) of all staff and management
∎ Arrange Visa processing (if any) for top level management and communicate with embassy/ high commission, local and internal travel agent
∎ Develop idea about travel route and carrier (if any), also familiar with hotel booking and cancellation policy as per requirements.
∎ Banking work like preparing Pay Orders, depositing cheque, withdrawing cash and transporting it safely to another bank or office.
∎ Preparing income tax records and preparing documents as required by income tax lawyer.
∎ Monitor all expenditures made by subordinates and ensure that these represent actual receipts by the vendor.
∎ Any other duties assigned by management.
Additional Requirements:
∎ Age at least 32 years
∎ Only males are allowed to apply
∎ The applicants should have experience in the following area(s): Office Management
∎ Good command in English (Reading, writing and speaking)
∎ Computer skill must (MS Word, Excel, PowerPoint/ Browsing Internet)
∎ Experience in working in reputed organizations will be an advantage.
