Responsibilities & Context:
∎ Supervise day-to-day office activities to ensure smooth operations.
∎ Monitor inventory levels of office supplies, ordering as necessary to maintain adequate stock.
∎ Manage calendars for executives and team members, scheduling meetings and appointments efficiently.
∎ Draft, format, and proofread reports, presentations, and other important documents.
∎ Organize travel logistics for employees, including booking flights, hotels, and transportation.
∎ Facilitate communication within the organization by distributing memos and updates.
∎ Handle inquiries from clients, vendors, and partners, maintaining a professional and courteous demeanor.
∎ Prepare agendas and take minutes during meetings, ensuring follow-up on action items.
∎ Maintain both physical and digital filing systems for easy retrieval of documents.
∎ Input and update information in databases, ensuring accuracy and completeness.
∎ Assist with the onboarding process for new hires, including scheduling orientations and processing paperwork.
∎ Organize training sessions and workshops for staff development.
∎ Help manage employee benefits enrollment and inquiries.
∎ Ensure adherence to company policies, legal regulations, and industry standards.
∎ Organize company events, meetings, and conferences, managing logistics such as venue selection and catering.
∎ Develop budgets for events and manage costs to ensure they remain within financial limits.
∎ Implement and monitor safety measures to maintain a safe work environment.
∎ Liaise with service providers (cleaning, maintenance, etc.) to ensure services meet company standards.
∎ Oversee office space allocation and utilization, making recommendations for improvements.
∎ Maintain good relationships with government institutions related to licensing approvals, including trade licenses, IRC, ERC, factory licenses, fire licenses, Kolkarkhana licenses, company TIN, trademark issues, etc.
∎ Arrange meetings with regulatory bodies to discuss various business solutions.
∎ Prepare and maintain ISO certification documents.
∎ Prepare documents for license approvals.
∎ Handle all types of visa processing for management personnel.
∎ Draft various types of letters, including invitation letters, embassy forwarding letters, and employment certificates.
∎ Any other administrative tasks as assigned by the management.
