  • 2-3 years of professional work experience, preferably in communication agencies, corporate communications, and knowledge management and communications at NGO/INGOS;

  • Excellent report writing, content development and design skills;

  • Excellent computer literacy in MS Office applications, with working knowledge of graphic design tools such as Adobe Photoshop, Illustrator, Figma or Canva etc;

  • Ability to work in a team to deliver within deadlines in a dynamic and fast-paced work environment.



Responsibilities & Context:

Swisscontact was established in 1959 as an independent foundation by notable figures from the worlds of commerce and science in Switzerland. It is exclusively involved in international development co-operation and has carried out its own and mandated projects since 1961. Based in Zurich, Swisscontact currently employs over 1,100 staff worldwide and manages projects in 41 countries on behalf of public and private donors.

Location: Dhaka, with regular travel to relevant project locations

Purpose of the Job

The Officer/Senior Officer - Knowledge Management and Communications will support the design and implementation of communication and knowledge management initiatives to enhance project visibility, documentation quality, and organisational learning. The role will ensure systematic capture, development, and dissemination of knowledge products and communication materials for diverse stakeholders, while maintaining strong documentation standards. The position will facilitate knowledge sharing, contribute to evidence-based reporting, and strengthen internal and external communications, while integrating Gender & Social Inclusion (GESI) considerations and supporting cross-functional collaboration to achieve project objectives.

Essential Functions and Responsibilities
Communications:

  • Design and implement strategic communication plans aligned with project objectives, ensuring effective visibility of activities, outcomes and impacts;

  • Develop and customise communication materials for diverse audiences, including donors, government stakeholders, partners, and the general public;

  • Conduct regular field visits to project locations to gather compelling content such as success stories, interviews, photographs, videos, and other communication assets;

  • Produce high-quality communication outputs including case studies, human-interest stories, blog articles, newsletters, brochures, and social media content;

  • Manage and coordinate with external vendors and service providers (e.g., communication, media, and creative agencies), ensuring timely delivery, quality outputs, and alignment with project communication objectives.

  • Monitor and analyse media coverage, and actively contribute to external visibility through op-eds, feature articles, and publications in relevant platforms;

  • Support the planning and execution of communication-focused events, including seminars, workshops, campaigns, and stakeholder engagement meetings.

Knowledge Management:

  • Develop and maintain a structured Knowledge Management (KM) system to capture, organise, store, and retrieve knowledge captured by the project efficiently;

  • Maintain documentation processes by ensuring all project, programme, and operational activities are properly recorded in standardised formats;

  • Design and enforce documentation guidelines, templates, and SOPs to ensure consistency, quality, and usability across all departments;

  • Prepare and contribute to the development of high-quality reports for donors and internal stakeholders, ensuring accuracy, clarity, and alignment with organisational and donor requirements;

  • Systematically capture tacit and explicit knowledge from field staff, stakeholders, and programme teams through interviews, reports, and learning sessions;

  • Review and edit reports, case studies, briefs, and technical documents to ensure clarity, accuracy, and alignment with organisational standards;

  • Coordinate periodic knowledge-sharing sessions, workshops, and learning events to promote knowledge exchange within and outside the organisation;

  • Collaborate with programme teams to document lessons learned, challenges, and innovations for continuous improvement;

  • Track and compile organisational achievements and impact evidence for reporting, donor communication, and advocacy purposes;

  • Facilitate internal communication of knowledge outputs to ensure information reaches relevant teams in a timely and effective manner;

  • Ensure compliance with donor and organisational documentation requirements, including proper filing, referencing, and reporting formats;

  • Continuously improve KM practices by identifying gaps, introducing innovative tools, and integrating solutions for better knowledge management;

Additional Responsibilities

  • Act as the GESI Focal Point of the project and ensure GESI is integrated across interventions and documentation;

  • Collaborate with administration, finance, and other cross-functional teams;

  • Undertake any other responsibilities assigned by the supervisor for project needs;

Physical Demand

Field visits play a large part in the incumbent's activities; as such, it is expected that the incumbent is willing and able to take part in such activities, as needed and sometimes under short notice.
