We are seeking a proactive and organized Office Assistant to join our growing team and support customer orders, documentation, and day-to-day business operations.
Key Responsibilities:
As an Office Assistant, you will play a crucial role in ensuring smooth operations and excellent customer service. Your responsibilities will include:
Respond to inquiries via phone, email, and WhatsApp.
Handle booking requests and explain services (EICR, Gas Safety, EPC, Fire Certificates, etc.).
Follow up with customers regarding appointments, payments, and renewals.
Coordinate and schedule inspections with engineers.
Track the status of certificates and ensure timely delivery.
Prepare and issue property safety certificates (EICR, Gas Safety, EPC, Fire Certificates).
Maintain accurate digital records and files.
Assist with invoicing and payment follow-ups.
Data entry and updating internal systems.
Coordinate with engineers/inspectors for job details.
Generate weekly reports on orders, completed jobs, and customer satisfaction.
Send reminders for certificate renewals.
Handle complaints or corrections professionally.
Collect and manage customer feedback/reviews.
Requirements:
Education: Diploma/BSC (Hon’s) in Electrical or equivalent (essential – must understand technical terms).
Experience: Previous office/admin/customer service experience preferred.
Skills:
Excellent communication skills in English (written & spoken).
Basic technical knowledge of electrical and property safety (circuit breakers, EICR, fire alarms, etc.).
Proficiency in MS Office, email handling, and WhatsApp/CRM tools.
Strong organizational and multitasking ability.
Attention to detail and reliability.
