Responsibilities & Context:

Planning and budget management:

  • Jointly with supervisor develop a plan for administration services; Submit annual plan to management.
  • Identify and analyze budget requirements from past data and forthcoming requirements forecast; Submit budget to management for approval.
  • Monitor procurement process for approved budget; Track all approved services and deliverables; Take approvals for specific or special requests with appropriate justification.

Plant administration management

  • Manage and allocate responsibilities to administration staff; Review daily checklist of activities.
  • Review scheduled maintenance activities; Communicate to respective department heads of undertaken future activities and precautions required if any.
  • Review and approve all administration related bills and invoices

Vendor management

  • Identify external vendor requirements for different services.
  • Receive long list of vendors identified for empanelment from subordinates; Identify and approve final vendor for empanelment based on performance criteria.
  • Assess vendors based on quality, price and time of services.
  • Approve renewals of contracts for security, housekeeping, hospitality, catering vendors.

Contract workforce management

  • Approve vendor contract terms and conditions; Review job and evaluate/assess optimal allocation of deployed workforce.
  • Track adequate supervision of the daily operations; Review performance reports and take action as necessary.

Security management

  • Identify the security threats/requirements of plant, approach area and entire station facilities.
  • Approve and track allocation and arrangement of deployment of guards; Review security manual policies periodically.
  • Monitor routine activities; Liaise with service provider for necessary reviews; Review training methods used for guards

Transportation management

  • Approve transport policy; Periodically review and approve changes.
  • Monitor company owned vehicles usage as per norms; Provide necessary guidelines for upkeep/ maintenance.
  • Provide approvals on necessary transport related bills and services.

Facility management

  • Track necessary operational guidelines to all staff and vendor employees across hospitality and housekeeping activities; Receive feedback reports; Take action on negative feedback as required.
  • Track daily maintenance of plant unit facility management; Take daily updates and review from staff.
  • Monitor discipline in visitor management and security.
  • Track maintenance and upkeep activities of guesthouse; Provide necessary approvals for usage and management

Managing team performance

  • Track team performance at an overall and individual level and provide support/ guidance wherever required to ensure achievement of yearly plans.
  • Manage effective resource allocation across different teams, enhance the capability quotient of team members and drive higher team engagement through appropriate HR interventions
