Experience

Responsibilities & Context:

Job Context

We are looking for a smart, well-presented, and customer-focused Front Desk Executive to manage the company's front office operations and ensure a professional first impression for visitors, clients, and business partners. The ideal candidate will be responsible for reception management, visitor handling, telephone communication, meeting coordination, and providing administrative support to different departments.

The candidate should possess excellent communication skills, a positive attitude, and the ability to multitask in a fast-paced corporate environment.

Job Responsibilities

  • Welcome and receive visitors, clients, and guests in a professional and courteous manner.

  • Manage the front desk and ensure smooth day-to-day reception operations.

  • Handle incoming and outgoing telephone calls and transfer calls to the appropriate departments.

  • Receive, record, and distribute courier, parcels, official letters, and other documents.

  • Maintain visitor registers, reception logs, and gate pass records.

  • Coordinate meeting room bookings and assist in arranging meetings, conferences, and interviews.

  • Provide administrative support to HR, Administration, Sales, Accounts, and other departments as required.

  • Respond to general inquiries through phone, email, and walk-in visitors.

  • Ensure the reception area is clean, organized, and presentable at all times.

  • Coordinate travel bookings, hotel reservations, and transportation arrangements when required.

  • Assist in office event coordination and guest hospitality.

  • Maintain office telephone directories and contact databases.

  • Monitor office stationery and reception-related supplies and place requisitions when necessary.

  • Handle confidential information with professionalism and discretion.

  • Support the Administration Department in daily operational activities.

  • Prepare daily, weekly, and monthly reception and visitor reports.

  • Ensure compliance with company policies, office protocols, and security procedures.

  • Perform any other responsibilities assigned by the Management.
