Responsibilities & Context:
∎ Anticipate and address medical and CHW teams’ needs in the field
∎ Support the construction and maintenance of all clinics and other facilities, in coordination with the Sr. Medical Officer & S&CH Coordinator, and the Sr. CH Supervisor.
∎ Manage the Rohingya Facility Officer in supervising porters, cleaners, and other Rohingya support volunteers;
∎ Keep the daily attendance ledger records for Rohingya volunteers up to date and conduct periodic spot checks;
∎ Ensure goods are stored correctly to minimize the possibility of damage or deterioration.
∎ Provide support/assistance with the purchasing of logistics and other supplies as required.
∎ Support the payments of Rohingya volunteers by filling in, approving, and compiling timesheets and attending field payments.
∎ Involve local refugee leaders and camp management in information and sensitization campaigns related to the medical program;
∎ Support the Admin Lead (CXB) by providing updates for each clinic, which can then be transmitted to other partners/SMS and CiC during coordination meetings.
∎ Support the Admin Lead (CXB) by providing any relevant updates related to other health partners in the camp.
∎ Required to ensure receipt of demand requisition, and appropriately maintain gate pass and waybill.
∎ Submit necessary documents and weekly checklists to Cox’s Bazar office.
∎ Provide medical and non-medical field supplies;
∎ Maintain records of all incoming and outgoing materials;
∎ Ensure that field facilities storerooms are organized, and ledgers, files, stock and bin cards, inventories, and spot checks documents are up to date and available on file at the site.
∎ Anticipate and draft purchase or stock requests depending on the facility's needs and ensure that these are reported during weekly facility meetings.
∎ Assist with administrative work to ensure the supplies and stocks/inventory are correctly documented using standard inventory formats and registers.
∎ Ensure Close and coordinated communication with warehouse officers, Fleet & Admin Assistants, and respective program persons.
∎ Checks the good condition of the logistics/supplies owned by distribution administration-FH.
∎ Follows up using the JRRP-FH program logistics demand & supplies and reports on all changes (e.g. stock tracking and tracking).
∎ Follow-up inventory/stock and updates in case of receiving, transfer, dispatch, and writing off in the Inventory/stock Registration Database based on the ID form previously prepared/updated.
∎ Verifies the labeling of all program supplies/logistics/ goods in conformity with the inventory database
∎ Represent and at times act as the Field liaison in any forum including meeting with government officials (CIC, RRRC) donors, partners, and other Bangladeshi authorities.
∎ Liaise with Site Management and camp authorities by attending coordination meetings, when necessary directly interacting with these authorities, recording and acting on their demands
∎ Ensure security procedures are in place in the facilities jointly (evacuation plans etc.) and track and report security incidents in the camp in close collaboration with the Security Manager.
∎ Ensure formal or non-formal daily facility debriefing with the Clinic lead and Nurse leaders.
∎ The purpose of a Field Admin Officer is to coordinate operational support services for the Joint Rohingya Response Program (JRRP) medical and CHW teams and ensure progressive ownership of communities’ catchment for the medical facility and services.
