Responsibilities & Context:
  • Office Management

  • Oversee daily office operations, cleanliness & upkeep of premises

  • Manage office supplies, stationery, pantry items, & inventory tracking

  • Ensure office equipment (AC, generator, IPS, Printers etc) is maintained & serviced on schedule

  • Coordinate seating arrangements, workstation setup for new employees

Vendor & Facility Management

  • Manage relationship with vendors, service providers, & contractors (cleaning, security, courier, maintenance)

  • Negotiate contract & ensure timely payment processing for admin-related vendors

  • Monitor utility bills (electricity, gas, water, internet) & ensure timely payments

  • Oversee building/office lease agreements and liaise with landlords

  • Manage necessary purchasing needed in the office

Logistics & Travels

  • Arrange travel, accommodation, & transport for employees & guests

  • Coordinate Courier & dispatch service

Compliance & Documentation

  • Maintain administrative records, licenses, trade permits & renewals

  • Ensure compliance with local municipal, fire safety, & building regulations

  • Maintain filing systems for admin documents

Security & Safety

  • Supervise security personnel & access control systems

  • Ensure fire safety equipment, evacuation plans, & first aid kits are in place & functional

  • Conduct periodic safety drills in coordination with HR

Event & Meeting Support

  • Arrange logistics for internal meetings, training sessions, & company events

  • Manage guest reception, boardroom bookings, & hospitality arrangements

Budget & Cost Control

  • Prepare & monitor the admin department’s operational budget

  • Identify cost-saving opportunities in facility & vendor management

Coordination with HR, Accounts & Audit

  • Support HR in onboarding logistics

  • Align & cooperate with accounts & audit department

  • Assist with employee welfare initiatives (transport, meals & office events)
